Is a CV a cover letter?

To put it succinctly, your CV is a summary of your qualifications, skills, and experience from the last 10 to 15 years. CVs are commonly split into distinct sections: a professional profile, your skills, a summary of your career, and a section on your education and qualifications. Details are usually presented in snappy bullet points, led by powerful verbs, and bolstered with concrete statistics, to show off your skill set and talent.

CVs can be directly compared to the American resume. They contain the same information and serve the same function of introducing you to the HR Manager.

Cover letters are a bit different. They are primarily used to expand on your CV, to add more context, and to further explain your value. Ultimately, your cover letter is sweet-talking the HR Manager as you supply them with further evidence that proves you're an applicant who's worthy of an interview.

It also serves as an introduction. If a hiring manager reads, and likes, your cover letter, they will be more inclined to follow up by reading your CV. If your cover letter is sloppily written, doesn't offer much context, or isn't bringing anything to the table in order to encourage someone to read further, then the likelihood is that those who matter in recruitment are probably not going to seek out your CV for further investigation. This could end up being disastrous, leaving you languishing in the “no” pile before you've even got started or been given a fighting chance.

What does a CV include?

Your CV should cover four main sections, including:

Name, professional title, and contact information

Personal profile

Your personal profile , located just under the contact details and at the top of the first page of your CV, should detail who you are, what you can offer the company, and your career goals, all in one tidy paragraph of about four or five sentences. CVs are written in the third person, without pronouns. This might sound a bit odd at first, writing about yourself in the third person, but it avoids the constant, “I did this,” and “I performed this” way of writing.

For example, you could write, “A versatile, tenacious, and confident Store Manager who flourishes with increased responsibility while engaging with customers at all levels.”

Experience and employment history

Your work experience should explain what you've done in your current role and your previous roles, going back to cover the last 10 to 12 years. Most importantly, it should then be expanded to feature any key accomplishments, demonstrating the value you could bring to your new role.

Education and qualifications

Your education and qualifications section simply adds finer details to prove that you're a qualified expert in certain areas, all adding up to an impressive professional skill set.

What does a cover letter include?

A cover letter is different. Usually, it's a one page document, running to three or four paragraphs, that complements your CV. It normally focuses on four key elements:

What position are you applying for and why?

What are your most impressive, relevant skills, and experiences?

How will these skills benefit your prospective employer or a hiring manager?

A request for an interview

It's formatted similarly to a traditional letter, with a salutation , paragraphs, maybe some bullet points to break up the paragraphs, and a closing sentence.

However, in this digital age that we live in, where many CVs are sent directly to employers via email, the rules for cover letters are changing. If you're emailing your CV, treat the message in your email as your cover letter, rather than attaching it separately.

Email cover letters are typically more concise and can be anywhere from between 100 to 400 words long. They still tap into the four main talking points mentioned above though.

Writing “Dear Sir / Madam,” is so old school. Leave that where it should be… in the classroom. What's the difference between a resume and a cover letter? Both a cover letter and a resume share the common purpose of proving that you have the right skills to excel at the job for which you are applying.

However, there are clear distinctions between the structure and intent of the two documents. Job seekers should view their cover letter and resume as a complementary but unique pair of documents. That is, your cover letter should be more than just bullet points regurgitated from the resume. 

Many employers require that a resume is submitted with a job application. 

A cover letter may not be required. But, including one when you apply for a job can help your chances of getting selected for an interview.

The Difference Between a Resume and a Cover Letter

You can think of your resume as a general summary of your work experience and your cover letter as a summary of your work experience as it relates to the job at hand. 

A resume is a document that itemizes your employment history. It summarizes the jobs you have held, the education you have attained, certifications, skills, and other quantifiable information about your background and work experience. 

The most common  resume format  is a list with your contact information, and experience section that includes job titles, position descriptions, dates of employment, an education section, and other relevant information.

Typically, a resume is written in the third person and uses as few words as possible to summarize the experience. So, instead of writing "I supervised the large buying team at XYZ company" a resume would have a bullet point that says, "Supervised 19-person buying team."

Whenever possible, you'll want to use numbers on your resume, such as the number of people you supervised, percent sales increased, the number of customers helped, etc.

A cover letter is written to highlight the qualifications you have for the job for which you are applying. It is used to provide the employer with additional information as to why you are a good candidate for the job. The main function of your cover letter is to show off how your qualification makes you a match for the job. 

A cover letter is written in a letter format including a salutation, several paragraphs, and a closing. Unlike a resume, you should use the first-person to write your cover letter . (That said, avoid using "I" too much.)

Your resume should provide employers with a detailed list of your work experience and education. The skills and accomplishments associated with each job you have held should be described in enough detail to show employers how you have added value in those specific roles.

Often, resumes provide information in bulleted lists; this helps make the document concise and allows recruiters to scan through it quickly. 

A cover letter is a short three or four paragraph document. It should be written with the assumption that employers will consult your resume to match it to the statement you are making in the letter about your qualifications.

A cover letter will help employers to interpret your background as represented on the resume and will help prove how your previous experiences qualify you for a job.

A written snapshot of a person’s educational qualification, work experience, and some personal details is known as a Curriculum Vitae (CV). Descriptions should demonstrate the "value" and relevance of your experience to the reader. Here are some things to consider when creating this section of your resume.

Edit & Pull it all Together

This is a critical point in resume development. You want your resume to be strong, not long.

  • Survey your list and highlight the information that you clearly want your reader to know. Make sure to include information that most closely resembles the type of work you seek.
  • Descriptions should use sentence fragments, not complete sentences. This helps keep your document concise. Do not use pronouns such as "I" or "we". Typically, use 3-4 sentence fragments for each key description, or use a bulleted format for your most important experiences. See sample resumes.
  • Begin your sentence fragments with action verbs, e.g., "Developed and implemented creative unit on the environment." Avoid starting sentence fragments with "Responsible for ..."  For help with writing your sentence fragments, you can click here for a list of action verbs .

Creating Your Cover Letter

General guidelines.

  • Always include a cover letter with any resume you send.
  • Always address it to a specific person. If you do not have a name, call the organization and ask for the name and title of the person in charge of the department in which you want to work.
  • Use an accepted professional format for your letter (see samples below). Make sure there are no spelling, grammatical, or typographical errors.
  • Have someone proofread the letter for you.
  • Limit your letter to one page.
  • Make sure you follow through. If you indicate you will call within one week, make sure you do, or you will look disinterested and unreliable.

Opening Paragraph

  • Clearly state what it is you are seeking, e.g., "I am interested in applying for the position of __________, advertised in the __________, on (date)".
  • If you are applying to an organization that has not advertised, or has not been specific in its job posting, clearly state your objective, e.g., "I am interested in obtaining an entry-level position in sales."
  • If an acquaintance of yours has given you a suggestion of someone you might contact, state this up front, e.g. "Bob Jones suggested I contact you regarding employment opportunities in your firm."
  • After researching the organization, learning all you can about their services, and what their needs might be, clearly target your objective to match their needs/services.
  • If the degree you hold is critical to the position, mention it in this section, e.g., "I hold a B.S. in Accounting from Nazareth University."
  • Let them know you have done your homework; say something flattering about the organization (be specific if you can), e.g., "(Name of organization) has an excellent reputation (locally, nationally, globally) for __________ and I would like to become part of your team."

Body of Letter

  • Write one or two paragraphs describing your education, special skills, talents, and accomplishments that will make you an asset to the organization.
  • Focus on how you can be of value to the organization, rather than on how they can be of value to you.
  • Become knowledgeable about the language (buzz words) typically used in the area you are pursuing; use this language in your letter.
  • Highlight in detail particular aspects of your resume specifically related to your job target, e.g., "As indicated on the attached resume, I have experience in __________. Of particular importance to you might be my (accomplishments/skills/experience) in the area of ___________."
  • Make the most direct possible connection between the job you are after and your experience/education.
  • If you claim expertise in an area, be sure to substantiate your comments through examples of performance.

Closing Paragraph

  • Be specific regarding your plan or action, e.g., "I will call you within (one week/two weeks) to arrange a meeting."
  • Alternatively, you can indicate that you look forward to hearing from the employer (include your current phone number). It is, however, advisable for you to follow-up with the employer to check on the status of your resume/application.
  • If you are looking for more information, clearly state this, e.g., "I am interested in more information regarding this position, and would appreciate an opportunity to meet with you."
  • Thank them e.g., "Thank you for your consideration."
  • Note enclosures at the bottom of the letter; indicate attachments or enclosures if appropriate. If you want, you can include what the enclosure is, e.g., "Enclosure: Resume."

Cover letters and letters of intent are similar documents you can use to contact a target employer in your job search. With either type of letter, you should aim for a confident tone that outlines your skills and presents you as a talented professional in your field. However, these two items have key differences and are used in different contexts. Cover letters are for pursuing individual jobs, while letters of intent are for pursuing companies that interest you in general.

Read on for an overview and examples of differences for each option, and tips on drafting the right letter for your purposes.

When you’re interested in a specific job opening, you should submit a cover letter. In virtually all cases, you’ll want to pair your cover letter with your resume – in fact the cover letter’s main purpose is to compel a hiring manager to read your resume more closely.

The five parts of a cover letter

1. Greeting (use “Dear Hiring Manager” or a variation ) 2. A “hook” or intriguing statement about one of your career highlights 3. A brief paragraph introducing yourself and explaining why the job (and possibly the organization) intrigues you 4. When you’re generally interested in an organization that isn’t hiring at the moment, you should submit a letter of intent. This type of letter just gets you on the radar of an organization where you’d love to work, even though they don’t have any openings in your field currently. You don’t need to pair your letter of intent with your resume, since you’re not submitting a formal job application in this case.

The strongest differences between the two types of letters are in their introduction (parts 2 and 3 above).

With a cover letter intro, your main goal is to catch the hiring manager’s attention and stand out in a pile of other applicants for the same job. But with a letter of intent, you’re sending a “cold” inquiry rather than responding to a job ad. The recipient won’t already know what your letter pertains to, so you need to dispense with the cover letter “hook.” Instead, take a more direct approach and state your purpose up front.

When you’re writing a cover letter, focus on showing your interest in the job at hand. (You can also express any interest you have in the employer, but that should be secondary.) By contrast, on a letter of intent your focus should be on the organization in general.

Use your letter of intent to explain what aspect of the organization appeals to you and connects to your career goals. Perhaps you identify with their mission. Or maybe you feel like you’re a great fit with their corporate culture. Or maybe you just love and use their products every day.
