How to Prepare for a Presentation, with Examples

This guide covers everything you need to know to prepare for your presentation. including what you need to think about beforehand, during and after the presentation.

1. Rehearse, rehearse, rehearse (always aloud)

Once you have your presentation worked out, you will need to practice it, but even though you might think it’s the best way to have a flawless presentation, don’t memorise what you’re going to say.

That might sound like incredibly bad advice, but here’s why:

  • If you memorise your speech, you’ll get stuck in thinking you can only deliver your ideas in that way, and that stifles your creativity, and the chance for new thoughts and ways to put things that come up as you speak.

Not only that, but every  audience is different . Sometimes they laugh out loud, sometimes they sit and smile, and you never know which type of audience you’ll have until you’re live.

If you’re going off a memorised presentation, it’s much more difficult to break away from that to go with the flow on the day, and respond naturally to your audience.

  • If you forget your speech in the middle of it, you will be thrown, and you’ll have more chance of complete brain freeze, which really will knock your confidence.
  • Memorising your presentation gives you a false sense of security, which could leave you high and dry if something goes wrong. If you’ve only got your memorised speech, for example, what will you do if your PowerPoint freezes or your props break, and you can’t do what you were going to do?

Rehearse in front of colleagues, friends, a mirror, in virtual reality – always aloud. Make sure you spend plenty of time practising your presentation, it will make you feel much more relaxed if you know your material.

2. Memorise your opening line

Do, however, memorise your opening line. If you know how you’re going to begin, you’ll get a strong start and that will build your confidence.

Many speakers and stage actors find that the minute they’ve actually delivered their first line, the nerves are gone and they’re well into their stride.

3. Practise your speech from written notes

Writing your presentation out in your own handwriting will help you clarify your ideas and may well bring you new ones.

4. Practise presentation flow

As well as practising for the ideas and what you want to say, practise how you want your presentation to flow. Think of it almost as a symphony, with high points, slow movements and crescendos. If it’s important, think about how you want your audience to feel, what emotions you want them to have, and when.

5. The power of silence

Don’t be afraid to pause and use the power of silence. A good pause can have a huge emotional impact. It allows people to really absorb what you are saying and react, and it’s vital to pause if you’re using humour so that the next part of your presentation doesn’t get lost underneath people’s laughter.

6. Have a backup

There’s nothing worse than the projector dying or finding that your laptop won’t communicate with the projector for some reason. If you know you have a backup, even if it’s only a pre-prepared flip chart, you’ll feel better, and you’ll be more confident.

7. Arrive early

Following on from that, arrive at least half an hour early so you aren’t feeling rushed, and so you have time to check your equipment and get your notes laid out ready to go. That gives you time to breathe and relax before you go on, knowing everything is as set as it can be.

8. Use physical props for a demo

Use physical props, if possible, for a demo. This can make you stand out and be more memorable among all the other speakers who only use PowerPoint, and it can add greatly to the impact of your presentation.

9. Structure your presentation

First, find out how much time you have to present, is it 10 minutes, 15, an hour? Prepare enough material for this time and have a couple of extra slides as backup – we tend to speak much quicker when nervous so you might find you finish your presentation too early. At some large conference events, timings may change on the day, be aware of this have a shorter version of your presentation in mind (i.e. know which slides to skip over).

10. Prepare for questions

Have a few backup slides for questions you think will arise from your presentation. It is sometime a tactic to explain a section briefly in your speech, so that you get a question about it afterwards. If you don’t understand the question, ask for it to be rephrased.

If there are no questions, it is not an indication how good or bad your presentation was. You many have explain your material extremely well, or simply that people are tired at the end of the day and want to go home.

11. Prepare for where you are presenting

If you can, go to the room you are speaking in before the actual event. It gives you an idea of furniture layout, podium height, location, room size, audience size and lighting. You can then visualise the room while practising and avoid the shock of suddenly being faced with a huge room when you expected a tiny one.

Ask the organiser if you need any particular props, for example a table to help with your live demo.

Additional planning to think about before your presentation:

1. Purpose  – what outcome are we trying to achieve? How can results be measured? What will success look like?

2. Topic  – Novelty? Complexity? Technical?

3. People  – Who should attend? What do they already know? How are they going to help?

4. Timing  – When will it happen and how long will the presentation take?

5. Location  – Where will the presentation be held? Do you have access to the correct facilities for the presentation?

6. Papers  – Who is keeping minutes? Do you need to send out an agenda before the presentation? Background information required?

7. Visual aids  – Is a  projector required ? Boards?

8. Style  – Structure or unstructured, discussion style? How assertive should you be? How should the meeting items be organised?

12. Choose the signals to give to your audience

Before the presentation, think about these 5 topics:

  • Body language

How to Plan a Presentation

Presentation planning is a useful and necessary skill in the professional world as well as school. Whether you need to sell a product, or get a passing grade in your class, planning a presentation takes time and dedication. You will want to figure out the best way to construct your material, considering your audience and your presentation's message. From there, work on building your slides and materials. Assemble information in a logical order that best illustrates your point. Practice your presentation regularly before delivering it. This can help you figure out any information that should be cut or restructured.

Assembling Your Best Material

Step 1 Think about the goal of your presentation.

  • Write down your most important points. See if you notice a key point emerging. If your audience were to take away one thing from this presentation, what would it be?
  • Don't just bombard your audience with facts. Think about what these facts do for your audience. What's the point you're trying to make with the information?

Step 2 Know your audience's background to help you structure your presentation.

  • Are you trying to sell them a product, introduce them to a new idea, alter their way of thinking?
  • Think about the kind of people in your audience. Do you have a tougher crowd, or do you have a group of enthusiastic people excited about what you're going to say?

Step 3 Select your main points based on the length of your presentation.

  • For example, if you're talking to a company about recycling program, you might discuss how corporate pollution contributes to global warming and how recycling can help the company save money. You wouldn't discuss the melting ice caps as a key point.
  • Melting ice caps are a valid concern, but they are a fact or a supporting point.

Step 4 Find your best-supporting information.

  • Add clarity to your argument by explaining anything the audience may not understand. For example: a brief overview of pollution's effect on climate change.
  • Add authority by making connections with existing research, studies, and information. For example, you could mention the consensus in the scientific community that global warming is manmade and cite a few studies.
  • Add color to your argument through visuals, like pictures and videos. For instance, you could show a chart of the amount of waste an average corporation produces in one month.

Finding a Trajectory for the Presentation

Step 1 Start your presentation with a solid introduction.

  • Include the basics of introducing yourself. You can say something like, "I'm Clara Thompson from Clean Water Action, and I would like to address your company today."
  • Get your audience's attention with a question or a fact. For example, you could ask: "Have you ever passed a body of water covered in green sludge and wondered how this happened? The answer may surprise you."
  • You don’t have to write your presentation in chronological order. If you want to work on your main points first and save the introduction for last, you can.

Step 2 Present your research and work in the body of the presentation.

  • For example, you're trying to get the corporation to alter their recycling program. Start by overviewing the vast amount of corporate pollution in the world.
  • Explain the consequences of this. Show how pollution contributes to climate change, then show what the corporation can do through changes in their policies.

Step 3 Use linking statements to make your points clear.

  • Common linking statements include things like, "Another important issue...," "Based on this data, you can now see..." and, "This brings me to my main point..."
  • For example, "Now that I've shown you the effects of corporate pollution, this brings me to my main point. What can you do to stop it?"

Step 4 Make use of visuals and graphics on your slides.

  • If you have any graphs or diagrams that will help illustrate your point, use them. Physically seeing information can help make your point more clear.
  • You should also see if there are any videos you can include. A brief video of someone succinctly explaining an issue can shake things up a bit.
  • Pictures are also nice. Each slide should have a picture related to the topic at hand.
  • Make sure not to overuse graphics or visuals. Too many could be overwhelming or distracting for your audience.

Step 5 Conclude your presentation.

  • You only need one slide. Recap what your point was. Begin with something like, "As you can see..." and then briefly repeat your main point.
  • A visual can help as well. Try adding one last visual aid that sums up your point. A graph or diagram would work well here.

Practicing Your Presentation

Step 1 Strive for 1 to 2 minutes of talking per slide.

  • If you're taking longer, cut some information out. You do not want to talk fast to include all information, as this can make you difficult to understand.
  • For accuracy, talk in your regular voice. Do not speak too fast or too slow. You want to make sure you can fit in all information talking at a normal rate.

Step 2 Keep your information relevant to the theme.

  • Are any facts extraneous? It's great to illustrate the effects of global warming, but do you really need five examples of environmental decay? Try to cut it down to two or three.

Step 3 Listen to yourself presenting.

  • You should sound enthusiastic when presenting. Talk without hesitance, and don't use filler words, like "um" or "uh."
  • Don't jump between topics. Use your linking sentences, and say things like, "And this brings me to the following..."
  • Watch the time. Make sure your presentation isn't going on for too long.
  • Watch yourself give the presentation in a mirror so you can correct any distracting movements or gestures.

Step 4 Practice until you have little need for your notes.

  • Don’t read the information off of your visuals since it could affect your engagement between yourself and the audience.

As with any assignment, it's important to first check the assignment requirements before you start planning your presentation. Read over the assignment requirements and make sure you understand the following:

  • Is it a group or individual presentation?
  • Is there a time limit or requirement? 
  • Are you allowed to use videos? If so, how long can videos be? Instructors generally do not want videos to take up a big portion of your presentation, but short videos can help to illustrate a point
  • What's the topic you will be presenting on? Do you get to choose? 
  • Are you required to prepare a visual component such as a PowerPoint or a poster?
  • What is the purpose of the presentation? Are you summarizing an issue to inform your classmates? Are you presenting a paper you wrote? Are you trying to convince them of a particular argument related to an issue? Are you leading discussion on a reading?

A good presentation requires careful planning. In general, you will need to follow these steps to plan a successful presentation:

  • Brainstorm and outline: What's your topic? What do you know about the topic? What do you want your audience to know? 
  • Research: Use research to support your argument, find examples and statistics, or to learn more about your topic.
  • Write an outline . 
  • Write a draft.
  • Plan any visual aids such as PowerPoint or any activities you want your audience to participate in
  • Practice, practice, practice!  Make sure your presentation is not too long, and edit it down as needed.

A good presentation should be well organized, with a beginning, middle and end. 

Beginning :

The beginning of a presentation is very important! This is when you have an opportunity to grab the audience's attention, and set the tone for your presentation.

  • Use an attention grabber. Some attention grabbing techniques include: asking a thought-provoking question, showing the audience am intriguing picture, telling a story or use a real life example related to your topic, sharing a shocking statistic related to your topic, sharing a powerful quote, playing a short video
  • Introduce yourself and the topic you will be discussing
  • Outline what you will be talking about. 
  • Discuss your main points in a logical order
  • It should be clear to your audience when you are moving from one point to another
  • Use examples to support your points

Conclusion:

  • Summarize the main points
  • Avoid providing new information at this point, but you can state any additional questions that you think your research has led you too
  • Use language that lets your audience know that your presentation is coming to an end
  • Avoid ending with "that's it!" or apologizing for your presentation
  • Thank the audience for listening and invite questions

Using transition and signal phrases throughout your presentation will help keep it organized and ensure your thoughts are communicated clearly. Try using some of the phrases below to introduce ideas and structure your presentation.

Introducing your presentation:

  • The topic/question I will be discussing today is...
  • This presentation will investigate/examine... 

Providing an outline:

  • I want to start by..., then I will... 
  • This presentation is divided into [x number] of parts. First I will... then I will..., finally I will conclude by...
  • There are [x number] of points I will discuss: A, B, C and D
  • Let's begin by looking at... before examining... 

Introducing your main point: 

  • A significant issue is...
  • A major concern is...
  • The central problem is...

Rephrasing your main point:

  • In other words...
  • Another way to think about the problem is...

Moving to another point:

  • Now let's consider...
  • I'd like to move on to examine...
  • Now, turning to the issue of...

Introducing an example:

  • A case in point is...
  • Take the case of...
  • This is illustrated/demonstrated by...

  • Do a data-driven presentation based on the latest statistics on a topic of interest, plus your expert opinion or conclusions.
  • Select a presentation topic that relates to your business goals, such as reporting on key performance indicators (KPIs) or revenue .

Stephanie Schwab , Marketing Expert, Coach and Consultant, advises:

"Finding the right topic is all about knowing your audience. What's keeping them up at night? What do they really need to hear from you, right now, that will help them in their lives, or their businesses? If you're not sure what they need, ask them - survey them through email, ask your community on social media, talk to your customers directly. Meet your audience where they are and they will come to you again and again."

2. Know Your Audience

Related to that, another important step in presentation preparation is to know your audience . Your presentation plan will be completely different depending on whether audience members are novices or experts in your topic. Understanding who you're presenting to helps you select appropriate data and anecdotes to convey your topic. 

Jared Karol , Speaker, Coach and Group Facilitator, says it's extremely important to think of your audience when preparing your presentation:

"If you can trust that your content and presentation flow is solid, you can give more attention to how your audience is thinking and feeling during and after the presentation. Involve the audience as much as possible. Invite them to be part of the presentation––whether rhetorically by using "we" and/or "you" language––and literally by utilizing chat and poll features, or, depending on the size of the group, allowing verbal interaction. Remember that you are creating an experience, not just delivering content."

3. Brainstorm

The next tip in our series of presentation steps is to brainstorm. This can be something you do on your own or with others. Either way,  note down initial ideas and inspiration for your presentation. Use tools like mind mapping to connect related concepts. 

By the end of this process, you'll have a clearer idea of the intended focus of your presentation and can move onto the next stage of your presentation plan.

4. Do Your Research

If you're thinking about how to prepare a great presentation, one of the key elements that separates good business presentations from the rest is research.

Tara Furiani , CEO & Host, Not the HR Lady, says:

"On our show, Not the HR Lady, we are huge proponents of ‘facts’ and call on our audience to fact check us. Presentations must be rooted in more than the theories of the presenter, to be credible. This can take on a lot of different looks. For me, I use and reference a lot of movies, music and pop culture to humorously drive serious points home (like racism, misogyny, bigotry, etc…) and that means finding just the right clip that illustrates your point. Not all ‘research’ has to be academic in nature, but all presentations should call upon someone other than one’s own opinions, for maximum impact and action."

Once you know your topic, you can search for supporting information such as:

  • recent news or features
  • the latest statistics (taken from reliable sources like .gov and .edu industry reports, and Google Dataset Search )
  • relevant quotations

Once you've got that information, you're ready for the next step in presentation preparation.

5. Plan Your Presentation

Now it's time to put your presentation plan together. This is where you bring together ideas from your brainstorm and information from your research and organize them into a rough outline. 

A good way to do this is with headings for different parts of your presentation and bullet points with facts, quotes, and stats. By the end of this process, you'll have a pretty good idea of the content of your slides. That's a crucial part of presentation preparation.

6. Draft/Write Your Presentation

Of course, creating a presentation isn't just about the slides. Use the outline you've created to draft the spoken part of your presentation. It's good to start with an overview of what your presentation will cover. Get it right, and this will whet your audience's appetite and make them pay attention.

Plan your introduction to draw your audience in . Using a story, or an unusual fact or stat can help with this.  Christina Strickland , Vice President of Crackerjack Marketing, says:

"Presentation introductions are a chance to capture your audience’s attention right away. This is a good time to set the tone for the presentation and the meeting in general. Before you head in, know in your own mind the objectives for yourself and for your audience. When you introduce the presentation, begin by laying out the objectives for the audience and then a quick overview of the format and flow. This will help participants know what to expect and the right time to ask questions."

Plan your conclusion, too. It's helpful to know where you're headed so you can steer your presentation the right way.

Use storytelling throughout to keep your audience's attention. Don't be concerned if the final spoken presentation is a little different from your prepared outline. The outline is a guide, but you'll know what you need to include or exclude as you start to polish the actual presentation.

That's part of the reason you don't always need to create your slides at the outline stage of presentation planning. Instead, update that initial outline based on what your ACTUAL presentation will be. Then it's time for slide preparation (PPT templates, as you'll see, will be a big asset for the next stage).

7. Design Your Presentation Slides

Here are some other useful presentation preparation tips:

  • Don't overdo the font choice . A single heading font and a single body font will be fine for most presentations. 
  • Choose your fonts carefully . Some fonts look attractive on your computer but are hard to read.
  • Pay attention to font size . You'll need to make sure that even someone who's at the back of the room can read your slides.
  • Avoid walls of text . They make slides hard to read and is pretty off-putting. A wall of text is a sure way to lose your audience.
  • Make one key point per slide . Have a few supporting bullet points.
  • Use charts, graphics, images, and quotes . They can help make your points and keep your audience's attention.

8. Expect Questions

Once your main presentation is ready, there's one more way to make your presentation great. That's to prepare for questions. As part of your presentation planning, you should:

  • Think about what people might ask about your presentation content and be ready with answers.
  • Consider how to deliver your presentation to lead people to ask certain questions that you're prepared for.
  • Prepare an answer for when you've got no answer so that you're not left floundering.

Christina Strickland says:

"Unexpected questions are bound to happen. Don’t feel like you are required to answer every question that comes up. It’s always good to have a few different responses prepared for different types of questions. Remember, it’s ok to say “That’s a really good question but it’s not really in my area of expertise.”"

9. Practice the Presentation

When you're happy with your slides and have prepared for questions, it's time for some presentation practice. This is where you do a complete run-through of your presentation, with both your presentation script and the slides. 

As you practice, pay attention to anything that doesn't flow, or is hard to say . Edit both your script and your presentation slides to remove these items. You don't want to be stumbling over your words on the day.

Some people prefer to practice alone but consider using a few friends or trusted colleagues as a test audience. It's a good way to make sure your material is clear and easy to understand.

Keep practicing till you feel you know your material inside out. This will help you deliver a polished presentation when it's time. If you're presenting online, Jared Karol suggests:

"The biggest thing to focus on when delivering presentations virtually is the idea of presence over performance. Try to recreate as closely as possible the vibe and feel you would create if you were all in the room together. Yes, prepare and rehearse. Yes, make sure the technology is good to go. And, remember that how you deliver the information is just as important as what information you're delivering. Wherever possible, try to personalize and humanize your presentation. Try to make your audience feel something not just remember something."

10. Prepare the Room

When thinking about how to practice for a presentation, there's one element some people overlook: the presentation space .  If it's possible, check it out well before it's time for you to present. 

One thing to pay attention to is the presentation equipment. Whether you're using a laptop and screen, a projector and screen, or some other piece of technology, get familiar with the presentation technology so you can ensure it'll work as expected.

And if you're able to book rehearsal time, take advantage of it. If you do, there won't be any surprises on the day.

Here are a few additional tips for giving an online presentation. 

11. Adjust Slide Design For Virtual Displays

If you're doing a virtual presentation, one of the most important tips for presentation preparation is to adjust the design of your slides. People will tune in from different size screens. So, make sure you don't have any text too near the top, bottom or sides of the slide, or some people won't be able to see it. Stephanie Schwab says:

 "I like to give instructions to the audience on how to get the best view of the presentation; I use Zoom most of the time, so I'll do a quick explanation of how to switch from gallery view to speaker view, and how to slide the screensharing portion bigger or smaller. That way I can have a little bit more confidence that the audience will take in the presentation in the way I want them to see it, and not get distracted by gallery view."

12. Look After Background and Lighting

We've all been on Zoom calls where the speaker is backlit, or where there's something distracting in the background. Avoid both of these so your audience can focus on your presentation. Experiment with the room you're presenting in to find the best lighting or get a ring light or two to ensure your face is always visible. And consider using a virtual background to keep distractions to a minimum. 

Tara Furiani says:

"The differences between presentations online and those that are in-person, are largely dependent on the skill of the facilitator. For example, one who’s engaging, tech savvy and can command a room… should find the presentations in-person or online, pretty much the same. When I present in a live setting, I use far less imagery than I would for an online session, because the focus would be on me. Virtually, I tend to add a touch more visual content, since my face alone should only be looked at for so long. By anyone."

13. Use Interactive Features

When preparing your presentation plan for an online presentation, try interactive features in your delivery platform to keep the audience engaged. Since you won't be able to use - or see body language - here are some tactics to try:

  • Include polls.
  • Ask questions people can respond to in the chat section.
  • Encourage the use of emoji reactions to get the audience involved.

These features are a big advantage of presenting online, says Tara Furiani:

"One shift, I think, that we will miss about online presentations (when in-person becomes the ‘norm’ again) is the ability to know, in the moment, if you are affecting change with people and resonating. Reactions, re-quotes, comments, and questions are delivered to us, while we are presenting, instantaneously… training survey be damned, this is real-time feedback.  We’re going to miss that; I just know it. In real life, save for applause, there aren’t ‘reactions’ to click that appear over the speakers’ head… maybe there should be?"

Presentation Preparation: Online vs In-Person

More conferences and events are being held online, and that's likely to continue. That means going one step further to understand how to develop a presentation to give a virtual audience a great experience. Stephanie Schwab comments:

"A lot of people think that giving an online presentation means you have to show slides the whole time - and I think just the opposite. I might have some slides to backup some of my points, but I'm usually pretty fluid between sharing my screen with a slide and then turning off sharing, so that the online audience can focus on me."

Do you wonder "what is a good presentation for online audiences?" Here are some differences in presentation preparation between online and in-person presentations.

  • You can't read the room . When presenting in-person, you can tell if people are engaged because they may lean forward, make eye contact or respond in some way. On a video call, you may not be able to see them properly, and they'll likely be muted to avoid background noise. To make up for this, pause regularly and ask for comments or feedback. 
  • You can't rely on body language . An in-person presenter can use physicality for emphasis. That's not possible in the boundaries of a small screen.
  • Visual cues are essential . In-person you can gesture or point at a key part of your slides. That's harder on a small screen. So, design your slides with visual cues like arrows and circles to direct your audience to what's most important on any slide. 
  • Working technology is more important  for virtual presentations. It's essential to ensure your mic and camera are working properly so you look professional. In contrast, you always have the option of going tech-free in an in-person presentation.
  • You handle questions differently . In-person, it's pretty easy to see when someone has a question, especially in a small room. Online, that's much harder, so have someone on hand to keep track of who's raised a hand or typed a question into the chat box.
  • Camera position is crucial. In-person, you may not have a camera. Even if you do, you can walk around the room to make eye contact with different people. That's not possible online, so make sure you're looking directly into the camera. That will allow you to make virtual eye contact with every participant.

Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Keep the folder organized by media type (presentation drafts, photos, videos, scripts) and back them up frequently to the Cloud or external disk. Label each file with a specific descriptive name, e.g. “Susan Johnson singing magpie 2020”, as opposed to “IMG_4043.jpg”, which can make it confusing to find your assets. The more organized you are up front, the easier preparing for your presentation will be.

3. Prepare your presentation materials

Make sure your presentation materials (script, graphics, actual slides) are saved in at least two safe spots (for example, your computer and an external USB drive) and are backed-up frequently. If you are using an online presentation software, such as Google Slides, be sure to also download a copy of your presentation in case the internet connection is unreliable. Having all the individual assets on hand in addition to your presentation slides can be helpful if you experience tech issues before presenting, or if you need to make any last minute changes. Make sure to label your final presentation with the title and your name so it’s easy to find.

4. Practice, practice, practice!

Remember, practice makes perfect. People often run out of time making their presentations and have no time to practice. Most TED speakers practice at least ten times. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Don’t let technical issues or other blunders overshadow your presentation. By following these guidelines, and with a little preparation, you can engineer out the problems BEFORE they happen.

Plan your presentation.

Successful presentations depend on good preparation. Think about the purpose of your presentation and the audience. If you are presenting as part of an assessment, check your brief, marking criteria and guidance carefully.

Create a planning schedule

It might help to create a planning schedule. Write out a list of all the tasks you need to do and how much time to allocate to each task.

For example, if your presentation is for an assessment you could break down your preparation into the following tasks:

  • Interpret and understand the assessment brief. For more guidance see our Interpreting your assignment activity .
  • Think about who your audience is.
  • Research your topic. Go to our guidance on searching for information .
  • Identify your key message.
  • Plan your content and produce an outline.
  • Write your presentation and prepare your visual aids.
  • Practise your presentation.

Know your audience

Make sure you understand why you are giving this talk, and to whom.

Ask yourself:

  • How much does the audience already know? This may change how much background detail you will need to include or whether you use subject-specific terminology.
  • Who is your audience? Are they fellow students, academics, school children? This will help you decide the level to pitch it at and the type of content you will include.
  • What is the cultural background of the audience? This may alter your use of specific cultural references, idioms or slang terms.
  • What will they be interested in? You need to be selective about the key points and information you include.

You might not be able to answer all these questions for everyone who will attend, but you can consider a general impression of their needs and expectations.

Plan your content

Set aside plenty of time to plan what you are going to say. You need to be selective. It is better to discuss fewer points in detail than many points superficially. You should:

  • decide what your key message or argument is
  • create an outline of your presentation by identifying the most relevant points that contribute to your overall message or argument
  • decide what supporting evidence to include that will help your audience to understand and be persuaded by what you are saying
  • consider what visual aids will help to illustrate, illuminate or explain what you are saying such as images, diagrams, statistics or even video clips.

Like many other assignments, a presentation should include:

  • an introduction that explains what you are going to talk about. Usually you should present your key message, or argument and an outline of the presentation
  • a main body where you discuss the most relevant and interesting points in a logical and coherent order
  • a conclusion that gives a brief review of the purpose of your presentation, reiterates the key message and if possible sets your discussion in a wider context
  • references to the evidence you have used. This may be verbal or should be on the slides if you are using them
  • thanking the audience for listening and an invitation to ask questions. 

During your presentation, help your audience follow your thoughts and understand how your ideas link together by giving them verbal cues.

Here are some examples:

  • “I will begin by discussing…”
  • “We will draw on 2 key theories…”
  • “Now I have discussed the methods, I will move on to…”
  • “In contrast to my earlier argument…”
  • “This is particularly significant because…”
  • “In this presentation I aimed to…”

Check the venue

Finally, you should also take time to check the venue. You will need to know what resources are available to you so you can plan what to bring and how long it will take to set up.

If the venue is local, set aside an hour to visit the room. Check the seating arrangements, IT/projection facilities, plug sockets, and whether there are any flip-charts or whiteboards for feedback.

If you are presenting at a distant location, contact someone there to ask questions.

Too many people, when they hear the word presentation, reach for their computer and switch to PowerPoint. That’s because they feel they are making progress by making slides.

They pull information together, they lay out slides and admire their handiwork. only then do they try to tell a story., this is not the right way for planing your presentation..

What to do instead: Plan you presentation using a story, a script and a plan

The process for presentation planning should be more like that of movie making. When you make a movie you only start filming at the end of the planning process. Before filming you must have a story, a script and a plan.  It should be the same when planning a presentation.

The better you plan a presentation, the easier it is to be successful. At first, it may feel frustrating that you are not writing slides. You may spent hours staring into space or doing research. But investing in proper presentation planning will pay back many times over.

In the end by planning your presentation properly you will spend less time writing PowerPoint slides. You will spend less time editing and you will spend less time searching for a way to link the sections of your presentation together. You’ll also discover that practising and rehearsing is easier. Your 8 Step Presentation Plan

Let’s explore each of these presentation planning steps, one by one.

1. Start by using the AIM approach in your presentation plan

What is the first step in planning a presentation? AIM is an easy-to-apply first step so that your presentations are easier to prepare.

What typically goes wrong. Most people create presentations without proper planning. They start writing slides before they have decided what they really want to say.

Why is it important to plan a presentation?  Without an effective presentation plan you waste time and energy.   

What to do instead. Use AIM. Start with a blank sheet of paper and write the three letters A.I.M. across the top. In each of these columns start writing what you know about A: Audience , I: Your intent , (or Purpose) and M: your take-away Message .

2. Presentation planning : Who’s your AUDIENCE and what do they need?

Shortcut Summary : Your audience, not you, should be centre of attention in your presentation. The better you understand your audience, the better your talk will be.

What typically goes wrong : When people give presentations about their latest project, they talk about their latest project. If they are reporting quarterly results, they report quarterly results. If they are speaking about their new business, they tell the audience about their new business. If explaining a new piece of regulation, they talk about elements of that regulation.

The problem with this approach is you are not including your audience in your talk. And if you don’t include your audience, your audience will be disengaged.

Why does this matter?  Audiences are selfish. They like being talked about.

What to do instead. Your talk should be about what your subject means for the audience. For example these are good titles for a presentation:

  • “What you can learn from our latest project.”
  • “Our quarterly results and what they mean for your department next quarter.”
  • “How our new business can make you money.”
  • “What the new regulations mean for you and your clients”

To do this, you must understand your audience. That means asking questions about them and getting under their skin. For example, some questions you may have could include:

ABOUT BACKGROUND

  • Who is coming to this talk?
  • What common reference points can I use?
  • What experiences have they shared?

ABOUT MOTIVATION

  • Why are they coming?
  • What problems do they have?
  • What do they need and want?
  • What will make life easy for them?

ABOUT EXPECTATIONS

  • What would they like me to talk about?
  • What would victory feel like for them?
  • What will make them sit up?

ABOUT CONNECTING

  • What can I say that will show them I am on their side?
  • What stories will resonate?
  • How can I add value?

ABOUT EMOTIONAL POSITION

  • What frame of mind will they be in?
  • What should I avoid talking about?
  • What will make them feel good?
  • What can I say at the start to win them over?

ABOUT MAKING IT EASY FOR THEM

  • What specific language should I use?
  • How should I position what I am talking about for this audience?
  • What phrases will resonate?

The more you learn about your audience, the better you know them and the better you can plan your talk for them.

  • Before any talk, analyse the audience.
  • Research them.
  • Make sure you really know them and their needs before you start planning what to say.

3. How to plan a presentation – INTENT: what are you trying to achieve?

Summary : Decide early the intent or purpose to your talk. This will help you direct your efforts to achieve your goals.

What typically goes wrong : “I’m going to talk about…” is a typical answer to the question “Why are you doing this talk?” But talking about something is of no use to anyone. It is pointless.

For example these are bad intents:

  • “I’m talking about our new project”
  • “I’m talking about the new regulations”
  • “A pitch about our new fund”
  • “An introduction to ABCX co”
  • “Monthly board report”

Why does this matter? For a talk to work it requires a clear purpose. When you know your purpose you can harness your talk to achieve just that.

What to do instead : Decide your intent. For example, when I asked a Chief Financial Officer recently what was the intent of his presentation, he was clear: he said that he “Wanted to look like the next CEO of this business.” This clear purpose made it easy to help him prepare what he said, how he said it and how he positioned himself.

More examples of a good intent:

  • A Lawyer, when giving a talk about new regulations , was clear that she wanted “to help companies use the new regulations to run better, more profitable businesses”.
  • An HR director who was introducing a new expense system was clear that her intent was to “get people to use the new system by next month so they can get paid faster and with less effort.’
  • A fund manager who was pitching a first time fund to new investors had a clear intent of “getting onto their radar screens and securing a second meeting”
  • A company looking for a trade buyer had crystallised their intent into “creating excitement about the potential value of buying this business and demonstrate the risk of others buying it.”
  • An accountant at a well known firm had the intent with his monthly board reports to “Get them to recognise the value my team adds.”

Having a clear intent will make it easier for you to plan your presentation. Identifying that intent is also one of the harder parts of planning a talk.

  • Be absolutely clear on the intent of your talk.
  • Summarise your intent in one line
  • Use your intent as your North Star to guide everything you say and how you say it.

4. What’s your one big take-away MESSAGE?

Summary : Your presentation needs a take-away message . This means one simple message so when someone asks “What was that talk about?” a listener can confidently answer.

What typically goes wrong : Many presentations have titles such as:

  • “Quarterly strategy report”
  • “Project X”
  • “Manufacturing update”
  • “Annual results”

These are all topics, not messages

Why does this matter? These titles don’t help the audience. They only tell them something they already know. With a topic title you miss the opportunity of preparing your audience and getting them in the right mindset to be ready for your talk.

What to do instead : Identify a message that summarises your talk that you can use as its title. Keep improving the title until it properly captures what you want to say. For example:

  • “Our strategy remains on track”
  • “Launching Project X by December could double revenues next year”
  • “Manufacturing: three problems we must address”
  • “Profits up 5% this year despite Covid headwinds”

Then test your title on other people. Check if it generates the reaction you want.

5. How to plan a presentation – What are the three parts of your talk?

Summary : Your brain Is naturally tuned to hearing things in sets of three . If you can break your presentation into three parts then it’s more likely to be a success.

What typically goes wrong : Many presentations are like shopping lists: covering multiple topics and jumping from one idea to the next.

Why does this matter? In the end, a huge amount of information has been transmitted but little has been received.

What to do instead : Less is more in a presentation. Help your audience by giving them a structure. A three part structure is one of the most useful planning shortcuts that you can use.

Once you are completely clear about your intent and your message, start developing a three part structure for your talk. For example, if I wanted to give a talk that shared advice on how to present, I would consider using one of the following structures:

  • How to define your messages / How to structure your talk / How to deliver your talk
  • What bad looks like / what good looks like / what you can do differently

6 . Presentation planning – What is your story?

Summary: Use a story to underpin your talk. No matter how dry your subject, when you use a story you will make it more memorable and more effective.

What typically goes wrong As an expert, a typical presenter wants to share knowledge.

For example: A few years ago, I helped a lawyer give a talk to investors. This audience consisted of private equity executives who sat on their investee company boards. The subject was the 2006 Companies Act and the Duties and Responsibilities of a Company Director. A dry subject.

In her first draft, she reviewed sections of the Act and highlighted problems that directors may face. For example, “Section 172 of the Act, sets out your overarching duties as a director. You must act in the way you consider, in good faith, would be most likely to promote the success of the company for the benefit of its members as a whole.”

As you can imagine, it was not the most exciting of talks.

Why does this matter? A precise talk may not be an interesting talk. Your job as a presenter is to make the talk interesting and easy for your audience.

What to do instead Find a story that fits what you want to talk about.

For example, for the investor director talk above, we decided to title the talk “How to keep your nose clean and yourself out of jail” Then the talk was based around a series of situations that anyone in the audience might face. She did not refer to any particular section of the Companies Act at all. Her text was:

“Imagine this situation. You turn up for a board meeting. You are a 10% shareholder and you are a director. At that board meeting the CEO announces that the company is near bankrupt and needs more funding. What should you do? Do you absent yourself, having a connected interest. Or do you declare your interest as a shareholder? Or do you carry as normal assuming business as usual?”

By framing it as a story you involve your audience and you make it easier for them to process what you say.

  • Find stories to tell, narratives to bring your facts to life.
  • Tell the story behind the numbers.
  • The dryer your subject matter, the more important stories become.

7. How to plan your presentation – Have you asked WHY?

Summary : ‘Why’ comes before ‘What’ comes before ‘How’

What typically goes wrong : When a speaker knows a subject well, it is easy for them to assume knowledge and talk about the nuances of what they know. I often describe this as the ‘How’ of a subject.

For example, when speaking about a new engine you have developed, you might say that you made the pistons more accurately, that you mix petrol more precisely and you have added a new technique of managing engine performance.

Why does this matter? This is one of the most common mistakes that experts make when giving talks. They spend too much time explaining HOW something works, rather than explaining WHAT it is they are talking about and WHY it is important.

What to do instead : “We have designed a more efficient car engine that will get 100 miles to the gallon.”

  • Check that you are clear why the audience will be interested.
  • Imagine someone in the audience asking “What’s in it for me?” (WIIFM)

8. How to plan a presentation – Can you give a 90 second summary of your presentation?

Summary : The best way to plan your presentation is by speaking a c 100-200 word summary of your presentation. This summary will test the rigour of your thinking, the clarity of your ideas and the robustness of your plan.

What typically goes wrong : The average poor presentation meanders from topic to topic and is more like a data dump than a well organised talk. It is rich in information but poor in story, structure and planning. It will be hard to summarise that talk easily.

Why does this matter? Lack of planning = Lack of story = Hard for your audience.

What to do instead : Create a short summary of your talk to test your thinking

  • You can use your summary early in your presentation planning to test your ideas.
  • If you are working with colleagues you can share your thinking using your summary.
  • If you are planning a presentation for someone else, you can share your summary to test their reaction.
  • If someone else is preparing your presentation, you can use a summary to check they are on track.

Creating a summary is one of the most powerful ways to plan a presentation and will save you a huge amount of wasted time.

14.1 Organizing a Visual Presentation

Learning objectives.

  • Identify key ideas and details to create a concise, engaging presentation.
  • Identify the steps involved in planning a comprehensive presentation.

Until now, you have interacted with your audience of readers indirectly, on the page. You have tried to anticipate their reactions and questions as all good writers do. Anticipating the audience’s needs can be tough, especially when you are sitting alone in front of your computer.

When you give a presentation, you connect directly with your audience. For most people, making a presentation is both exciting and stressful. The excitement comes from engaging in a two-way interaction about your ideas. The stress comes from the pressure of presenting your ideas without having a delete button to undo mistakes. Outside the classroom, you may be asked to give a presentation, often at the last minute, and the show must go on. Presentations can be stressful, but planning and preparation, when the time and opportunity are available, can make all the difference.

This chapter covers how to plan and deliver an effective, engaging presentation. By planning carefully, applying some time-honored presentation strategies, and practicing, you can make sure that your presentation comes across as confident, knowledgeable, and interesting—and that your audience actually learns from it. The specific tasks involved in creating a presentation may vary slightly depending on your purpose and your assignment. However, these are the general steps.

Follow these steps to create a presentation based on your ideas:

  • Determine your purpose and identify the key ideas to present.
  • Organize your ideas in an outline.
  • Identify opportunities to incorporate visual or audio media, and create or locate these media aids.
  • Rehearse your presentation in advance.
  • Deliver your presentation to your audience.

Getting Started: Identifying and Organizing Key Ideas

To deliver a successful presentation, you need to develop content suitable for an effective presentation. Your ideas make up your presentation, but to deliver them effectively, you will need to identify key ideas and organize them carefully. Read the following considerations, which will help you first identify and then organize key ideas:

  • Be concise. You will include the most important ideas and leave out others. Some concepts may need to be simplified.
  • Employ more than one medium of expression. You should incorporate other media, such as charts, graphs, photographs, video or audio recordings, or websites.
  • Prepare for a face-to-face presentation. If you must deliver a face-to-face presentation, it is important to project yourself as a serious and well-informed speaker. You will often speak extemporaneously, or in a rehearsed but not memorized manner, which allows for flexibility given the context or audience. You will need to know your points and keep your audience engaged.

Determine Your Purpose

As with a writing assignment, determining the purpose of your presentation early on is crucial. You want to inform your readers about the topic, but think about what else you hope to achieve.

Are you presenting information intended to move your audience to adopt certain beliefs or take action on a particular issue? If so, you are speaking not only to inform but also to persuade your listeners. Do you want your audience to come away from your presentation knowing how to do something they that they did not know before? In that case, you are not only informing them but also explaining or teaching a process.

Writing at Work

Schoolteachers are trained to structure lessons around one or more lesson objectives. Usually the objective, the mission or purpose, states what students should know or be able to do after they complete the lesson. For example, an objective might state, “Students will understand the specific freedoms guaranteed by the First Amendment” or “Students will be able to add two three-digit numbers correctly.”

As a manager, mentor, or supervisor, you may sometimes be required to teach or train other employees as part of your job. Determining the desired outcome of a training session will help you plan effectively. Identify your teaching objectives. What, specifically, do you want your audience to know (for instance, details of a new workplace policy) or be able to do (for instance, use a new software program)? Plan your teaching or training session to meet your objectives.

Identify Key Ideas

To plan your presentation, think in terms of three or four key points you want to get across. In a paper, you have the space to develop ideas at length and delve into complex details. In a presentation, however, you must convey your ideas more concisely.

One strategy you might try is to create an outline. What is your main idea? Would your main idea work well as key points for a brief presentation? How would you condense topics that might be too lengthy, or should you eliminate topics that may be too complicated to address in your presentation?

1. Revisit your presentation assignment, or think of a topic for your presentation. On your own sheet of notebook paper, write a list of at least three to five key ideas. Keep the following questions in mind when listing your key ideas:

  • What is your purpose?
  • Who is your audience?
  • How will you engage your audience?

2. On the same paper, identify the steps you must complete before you begin creating your presentation.

Use an Outline to Organize Ideas

After you determine which ideas are most appropriate for your presentation, you will create an outline of those ideas. Your presentation, like a written assignment, should include an introduction, body, and conclusion. These components serve much the same purpose as they do in a written assignment.

  • The introduction engages the audience’s attention, introduces the topic, and sets the tone for what is to come.
  • The body develops your point of view with supporting ideas, details, and examples presented in a logical order.
  • The conclusion restates your point of view, sums up your main points, and leaves your audience with something to think about.

Jorge, who wrote the research paper featured in Chapter 11 “Writing from Research: What Will I Learn?” , developed the following outline. Jorge relied heavily on this outline to plan his presentation, but he adjusted it to suit the new format.

Planning Your Introduction

In Chapter 12 “Writing a Research Paper” , you learned techniques for writing an interesting introduction, such as beginning with a surprising fact or statistic, a thought-provoking question or quotation, a brief anecdote that illustrates a larger concept or connects your topic to your audience’s experiences. You can use these techniques effectively in presentations as well. You might also consider actively engaging your audience by having members respond to questions or complete a brief activity related to your topic. For example, you may have your audience respond to a survey or tell about an experience related to your topic.

Incorporating media can also be an effective way to get your audience’s attention. Visual images such as a photograph or a cartoon can invoke an immediate emotional response. A graph or chart can highlight startling findings in research data or statistical information. Brief video or audio clips that clearly reinforce your message and do not distract or overwhelm your audience can provide a sense of immediacy when you plan to discuss an event or a current issue. A PowerPoint presentation allows you to integrate many of these different media sources into one presentation.

With the accessibility provided by the Internet, you can find interesting and appropriate audio and video with little difficulty. However, the clip alone will not sustain the presentation. To keep the audience interested and engaged, you must frame the beginning and end of the clip with your own words.

Jorge completed the introduction part of his outline by listing the key points he would use to open his presentation. He also planned to show various web links early on to illustrate the popularity of the low-carbohydrate diet trend.

Planning the Body of Your Presentation

The next step is to work with the key ideas you identified earlier. Determine the order in which you want to present these ideas, and flesh them out with important details. Chapter 10 “Rhetorical Modes” discusses several organizational structures you might work with, such as chronological order, comparison-and-contrast structure, or cause-and-effect structure.

How much detail you include will depend on the time allotted for your presentation. Your instructor will most likely give you a specific time limit or a specific slide limit, such as eight to ten slides. If the time limit is very brief (two to three minutes, for instance), you will need to focus on communicating your point of view, main supporting points, and only the most relevant details. Three minutes can feel like an eternity if you are speaking before a group, but the time will pass very quickly. It is important to use it well.

If you have more time to work with—ten minutes or half an hour—you will be able to discuss your topic in greater detail. More time also means you must devote more thought into how you will hold your audience’s interest. If your presentation is longer than five minutes, introduce some variety so the audience is not bored. Incorporate multimedia, invite the audience to complete an activity, or set aside time for a question-and-answer session.

Jorge was required to limit his presentation to five to seven minutes. In his outline, he made a note about where he would need to condense some complicated material to stay within his time limit. He also decided to focus only on cholesterol and heart disease in his discussion of long-term health outcomes. The research on other issues was inconclusive, so Jorge decided to omit this material. Jorge’s notes on his outline show the revisions he has made to his presentation.

Some material could be chosen to omit

You are responsible for using your presentation time effectively to inform your audience. You show respect for your audience by following the expected time limit. However, that does not mean you must fill all of that time with talk if you are giving a face-to-face presentation. Involving your audience can take some of the pressure off you while also keeping them engaged. Have them respond to a few brief questions to get them thinking. Display a relevant photograph, document, or object and ask your classmates to comment. In some presentations, if time allows, you may choose to have your classmates complete an individual or group activity.

Planning Your Conclusion

The conclusion should briefly sum up your main idea and leave your audience with something to think about. As in a written paper, you are essentially revisiting your thesis. Depending on your topic, you may also ask the audience to reconsider their thinking about an issue, to take action, or to think about a related issue. If you presented an attention-getting fact or anecdote in your introduction, consider revisiting it in your conclusion. Just as you have learned about an essay’s conclusion, do not add new content to the presentation’s conclusion.

No matter how you choose to structure your conclusion, make sure it is well planned so that you are not tempted to wrap up your presentation too quickly. Inexperienced speakers, in a face-to-face presentation, sometimes rush through the end of a presentation to avoid exceeding the allotted time or to end the stressful experience of presenting in public. Unfortunately, a hurried conclusion makes the presentation as a whole less memorable.

Time management is the key to delivering an effective presentation whether it is face-to-face or in PowerPoint. As you develop your outline, think about the amount of time you will devote to each section. For instance, in a five-minute face-to-face presentation, you might plan to spend one minute on the introduction, three minutes on the body, and one minute on the conclusion. Later, when you rehearse, you can time yourself to determine whether you need to adjust your content or delivery.

In a PowerPoint presentation, it is important that your presentation is visually stimulating, avoids information overload by limiting the text per slide, uses speaker notes effectively, and uses a font that is visible on the background (e.g., avoid white letters on a light background or black letters on a dark background).

Work with the list you created in Note 14.4 “Exercise 1” to develop a more complete outline for your presentation. Make sure your outline includes the following:

  • An introduction that uses strategies to capture your audience’s attention
  • A body section that summarizes your main points and supporting details
  • A conclusion that will help you end on a memorable note
  • Brief notes about how much time you plan to spend on each part of the presentation (you may adjust the timing later as needed)

Identifying Opportunities to Incorporate Visual and Audio Media

You may already have some ideas for how to incorporate visual and audio media in your presentation. If not, review your outline and begin thinking about where to include media. Presenting information in a variety of formats will help you keep your audience’s interest.

Use Presentation Software

Delivering your presentation as a slideshow is one way to use media to your advantage. As you speak, you use a computer and an attached projector to display a slideshow of text and graphics that complement the speech. Your audience will follow your ideas more easily, because you are communicating with them through more than one sense. The audience hears your words and also sees the corresponding visuals. A listener who momentarily loses track of what you are saying can rely on the slide to cue his or her memory.

To set up your presentation, you will need to work with the content of your outline to develop individual slides. Each slide should focus on just a few bullet points (or a similar amount of content presented in a graphic). Remember that your audience must be able to read the slides easily, whether the members sit in the front or the back of the room. Avoid overcrowding the slides with too much text.

Using presentation software, such as PowerPoint, allows you to incorporate graphics, sounds, and even web links directly into your slides. You can also work with available styles, color schemes, and fonts to give your presentation a polished, consistent appearance. Different slide templates make it easy to organize information to suit your purpose. Be sure your font is visible to you audience. Avoid using small font or colored font that is not visible against your background.

Use PowerPoint as a Visual Aid

PowerPoint and similar visual representation programs can be effective tools to help audiences remember your message, but they can also be an annoying distraction to your speech. How you prepare your slides and use the tool will determine your effectiveness.

PowerPoint is a slideware program that you have no doubt seen used in class, seen in a presentation at work, or perhaps used yourself to support a presentation. PowerPoint and similar slideware programs provide templates for creating electronic slides to present visual information to the audience, reinforcing the verbal message. You will be able to import or cut and paste words from text files, images, or video clips to create slides to represent your ideas. You can even incorporate web links. When using any software program, it is always a good idea to experiment with it long before you intend to use it; explore its many options and functions, and see how it can be an effective tool for you.

At first, you might be overwhelmed by the possibilities, and you might be tempted to use all the bells, whistles, and sound effects, not to mention the tumbling, flying, and animated graphics. If used wisely, a dissolve or key transition can be like a well-executed scene from a major motion picture and lead your audience to the next point. But if used indiscriminately, it can annoy the audience to the point where they cringe in anticipation of the sound effect at the start of each slide. This danger is inherent in the tool, but you are in charge of it and can make wise choices that enhance the understanding and retention of your information.

The first point to consider is which visual aid is the most important. The answer is you, the speaker. You will facilitate the discussion, give life to the information, and help the audience correlate the content to your goal or purpose. You do not want to be in a position where the PowerPoint presentation is the focus and you are on the side of the stage simply helping the audience follow along. Slides should support you in your presentation, rather than the other way around. Just as there is a number one rule for handouts (do not pass them out at the start of your presentation), there is also one for PowerPoint presentations: do not use PowerPoint slides as a read-aloud script for your speech. The PowerPoint slides should amplify and illustrate your main points, not reproduce everything you are going to say.

Your pictures are the second area of emphasis you will want to consider. The tool will allow you to show graphs, charts and illustrate relationships that words may only approach in terms of communication, but your verbal support of the visual images will make all the difference. Dense pictures or complicated graphics will confuse more than they clarify. Choose clear images that have an immediate connection to both your content and the audience, tailored to their specific needs. After the images, consider using only key words that can be easily read to accompany your pictures. The fewer words the better. Try to keep each slide to a total word count of less than ten words. Do not use full sentences. Using key words provides support for your verbal discussion, guiding you as well as your audience. The key words can serve as signposts or signal words related to key ideas.

A natural question at this point is, How do I communicate complex information simply? The answer comes with several options. The visual representation on the screen is for support and illustration. Should you need to communicate more technical, complex, or in-depth information in a visual way, consider preparing a handout to distribute at the conclusion of your speech. You may also consider using a printout of your slide show with a section for taking notes, but if you distribute it at the beginning of your speech, you run the risk of turning your presentation into a guided reading exercise and possibly distracting or losing members of the audience. Everyone reads at a different pace and takes notes in their own way. You do not want to be in the position of going back and forth between slides to help people follow along.

Another point to consider is how you want to use the tool to support your speech and how your audience will interpret its presentation. Most audiences wouldn’t want to read a page of text—as you might see in this book—on the big screen. They will be far more likely to glance at the screen and assess the information you present in relation to your discussion. Therefore, it is key to consider one main idea, relationship, or point per slide. The use of the tool should be guided with the idea that its presentation is for the audience’s benefit, not yours. People often understand pictures and images more quickly and easily than text, and you can use this to your advantage, using the knowledge that a picture is worth a thousand words.

Incorporate Visual Media

Even if you do not use a slideshow to complement your presentation, you can include visual media to support and enhance your content. Visual media are divided into two major categories: images and informational graphics.

Image-based media, such as photographs or videos, often have little or no accompanying text. Often these media are more powerful than words in getting a message across. Within the past decade, the images associated with major news stories, such as the Indian Ocean tsunami of 2004, the Abu Ghraib prison abuses from 2004 to 2006, and the 2010 earthquake in Haiti, have powerfully affected viewers’ emotions and drawn their attention to these news stories.

Even if your presentation addresses a less dramatic subject, you can still use images to draw in your audience. Consider how photographs, an illustration, or a video might help your audience connect with a particular person or place or bring a historical event to life. Use visual images to support descriptions of natural or man-made phenomena. What ideas lend themselves to being explained primarily through images?

In addition, consider how you might incorporate informational graphics in your presentation. Informational graphics include diagrams, tables, pie charts, bar and line graphs, and flow charts. Informational graphics usually include some text and often work well to present numerical information. Consider using them if you are presenting statistics, comparing facts or data about several different groups, describing changes over time, or presenting a process.

Incorporate Audio Media

Although audio media are not as versatile as visual media, you may wish to use them if they work well with your particular topic. If your presentation discusses trends in pop music or analyzes political speeches, playing an audio clip is an obvious and effective choice. Clips from historical speeches, radio talk shows, and interviews can also be used, but extended clips may be ineffective with modern audiences. Always assess your audience’s demographics and expectations before selecting and including audio media.

Review the outline you created in Note 14.11 “Exercise 2” . Complete the following steps:

  • Identify at least two to three places in your presentation where you might incorporate visual or audio media. Brainstorm ideas for what media would be effective, and create a list of ideas. (In Chapter 14 “Creating Presentations: Sharing Your Ideas” , Section 14.2 “Incorporating Effective Visuals into a Presentation” , you will explore different media options in greater depth. For now, focus on coming up with a few general ideas.)
  • Determine whether you will use presentation software to deliver your presentation as a slideshow. If you plan to do so, begin using your outline to draft your slides.

Planning Ahead: Annotating Your Presentation

When you make a presentation, you are giving a performance of sorts. It may not be as dramatic as a play or a movie, but it requires smooth coordination of several elements—your words, your gestures, and any media you include. One way to ensure that the performance goes smoothly is to annotate your presentation ahead of time.

To annotate means to add comments or notes to a document. You can use this technique to plan how the different parts of your presentation will flow together. For instance, if you are working with slides, add notes to your outline indicating when you will show each slide. If you have other visual or audio media to include, make a note of that, too. Be as detailed as necessary. Jotting “Start video at 3:14” can spare you the awkwardness of searching for the right clip during your presentation.

In the workplace, employees are often asked to deliver presentations or conduct a meeting using standard office presentation software. If you are using presentation software, you can annotate your presentation easily as you create your slides. Use the notes feature at the bottom of the page to add notes for each slide. As you deliver your presentation, your notes will be visible to you on the computer screen but not to your audience on the projector screen.

In a face-to-face presentation, make sure your final annotated outline is easy to read. It will serve to cue you during your presentation, so it does not need to look polished, as long as it is clear to you. Double space the text. Use a larger-than-normal font size (14 or 16 points) if that will make it easier for you to read. Boldface or italics will set off text that should be emphasized or delivered with greater emotion. Write out main points, as well as your opening and closing remarks, in complete sentences, along with any material you want to quote verbatim. Use shorter phrases for supporting details. Using your speaker notes effectively will help you deliver an effective presentation. Highlighting, all capital letters, or different-colored font will help you easily distinguish notes from the text of your speech. Read Jorge’s annotated outline.

Some students prefer to write out the full text of their face-to-face presentation. This can be a useful strategy when you are practicing your delivery. However, keep in mind that reading your text aloud, word for word, will not help you capture and hold your audience’s attention. Write out and read your speech if that helps you rehearse. After a few practice sessions, when you are more comfortable with your material, switch to working from an outline. That will help you sound more natural when you speak to an audience.

In a PowerPoint presentation, remember to have your slides in logical sequential order. Annotating your presentation before submitting it to your audience or your instructor will help you check for order and logical transitions. Too much text or data may confuse your audience; strive for clarity and avoid unnecessary details. Let the pictures or graphics tell the story but do not overload your slideshow with visuals. Be sure your font is visible. Look for consistency in the time limit of your presentation to gauge your level of preparedness.

Begin to annotate your outline. (You will probably add more notes as you proceed, but including some annotations now will help you begin pulling your ideas together.) Mark your outline with the following information:

  • Write notes in brackets to any sections where you definitely plan to incorporate visual or audio media.
  • If you are presenting a slideshow, add notes in brackets indicating which slides go with each section of your outline.
  • Identify and set off any text that should be emphasized.

Steps in Preparing a Presentation

Planning your presentation, step 1: analyze your audience, step 2: select a topic, step 3: define the objective of the presentation, preparing the content of your presentation, step 4: prepare the body of the presentation, step 5: prepare the introduction and conclusion, practicing and delivering, step 6: practice delivering the presentation.

The first step in preparing a presentation is to learn more about the audience to whom you'll be speaking. It's a good idea to obtain some information on the backgrounds, values, and interests of your audience so that you understand what the audience members might expect from your presentation.

Next, if possible select a topic that is of interest to the audience and to you. It will be much easier to deliver a presentation that the audience finds relevant, and more enjoyable to research a topic that is of interest to you.

Once you have selected a topic, write the objective of the presentation in a single concise statement. The objective needs to specify exactly what you want your audience to learn from your presentation. Base the objective and the level of the content on the amount of time you have for the presentation and the background knowledge of the audience. Use this statement to help keep you focused as you research and develop the presentation.

After defining the objective of your presentation, determine how much information you can present in the amount of time allowed. Also, use your knowledge about the audience to prepare a presentation with the right level of detail. You don't want to plan a presentation that is too basic or too advanced.

The body of the presentation is where you present your ideas. To present your ideas convincingly, you will need to illustrate and support them. Strategies to help you do this include the following:

  • Present data and facts
  • Read quotes from experts
  • Relate personal experiences
  • Provide vivid descriptions

And remember, as you plan the body of your presentation it's important to provide variety. Listeners may quickly become bored by lots of facts or they may tire of hearing story after story.

Once you've prepared the body of the presentation, decide how you will begin and end the talk. Make sure the introduction captures the attention of your audience and the conclusion summarizes and reiterates your important points. In other words, "Tell them what you're going to tell them. Tell them. Then, tell them what you told them."

During the  opening  of your presentation, it's important to attract the audience's attention and build their interest. If you don't, listeners will turn their attention elsewhere and you'll have a difficult time getting it back. Strategies that you can use include the following:

  • Make the introduction relevant to the listeners' goals, values, and needs
  • Ask questions to stimulate thinking
  • Share a personal experience
  • Begin with a joke or humorous story
  • Project a cartoon or colorful visual
  • Make a stimulating or inspirational statement
  • Give a unique demonstration

During the opening you want to clearly present your topic and the purpose of your presentation. Clearly articulating the topic and purpose will help the listeners focus on and easily follow your main ideas.

During the  conclusion  of your presentation, reinforce the main ideas you communicated. Remember that listeners won't remember your entire presentation, only the main ideas. By reinforcing and reviewing the main ideas, you help the audience remember them.

Most people spend hours preparing a presentation but very little time practicing it. When you practice your presentation, you can reduce the number of times you utter words and phrases like, "um," "well," and "you know." These habits can easily diminish a speaker's credibility. You can also fine-tune your content to be sure you make your most important points in the time alloted.

In addition to planning the content of your presentation, you need to give advanced thought to how you want to deliver it. Do you want to commit your presentation to memory, use cards to guide you, or read from a script? Or, you might want to use a combination of methods. To help you decide, read the advantages and disadvantages of the four delivery methods described below.

Speaking from Memory

A distinct advantage of speaking from memory is your ability to speak to the audience without relying on notes or a script. This allows you the flexibility to move away from the podium and to maintain eye contact with the audience. However, speaking from memory has disadvantages, too. Presentations from memory often sound rehearsed and the possibility exists that you'll forget an important point, present information that's inaccurate, or completely lose your train of thought. If you decide to deliver your presentation from memory, have notes handy to jog your memory just in case!

Speaking from Notes

Many people like to speak from notes. Typically these notes are either on cards or paper in outline form and contain key ideas and information. If you are using an electronic presentation tool, you may be able to include your notes in the presentation itself. The benefit of delivering a presentation from notes is that you sound natural rather than rehearsed and you can still maintain relatively good eye contact with the audience. The down side is that you might not express your key ideas and thoughts as well as you may have liked had you planned your exact words in advance.

Speaking from Text

Speaking from text involves writing your speech out, word for word, then basically reading from the text. As with speaking from memory, an advantage of this method is that you plan, in advance, exactly what you're going to say and how you're going to say it. A disadvantage is that you might appear to the audience to be stiff or rehearsed. You will need to make frequent eye contact and speak with expression to maintain the audience's interest.

Using a Combination of Methods

You may find the best method to be a combination of all three. For instance, experts suggest you memorize the first and last ten minutes of your talk so that you can speak flawlessly and without notes. Notes may be suitable for segments of your presentation that you know very well, for example, relating a personal story. Finally, speaking from a text might be appropriate when you have quotes or other important points that you want to make sure you communicate accurately and completely. You can make a smooth segue to written text by saying something like: "I want to read this quote to you verbatim, to ensure that I don't distort the original intent."

Fundamentals of presenting, plan a presentation.

The fundamentals of public speaking remain the same in any context, be it classroom, conference, parliament or crowded city square. Good public speakers use simple and clear language to communicate complex points. They pause when they speak, and they deliver their message with confidence derived from their knowledge and preparation.

A good presentation:

Has a focused and relevant message

  • Is clearly organized and supported by evidence
  • Demonstrates understanding and analysis of ideas
  • Is delivered calmly and confidently

Focus and Purpose

A presentation is not a dry list of disconnected facts. Like lab reports or essays, it makes a specific point. Start by asking yourself “So What?” Determine thethe most important point you wish to make and identify why it is important.

Plan your presentation to suit your audience. Consider their familiarity with the subject and their purpose for listening to your presentation. Classmates will likely have some background on the topic, and because they are keenly aware that they will eventually present to you, they are usually quite generous in their reception of your talk.

A logical structure supports a clear and focused message, and it stops you from leaping from idea to idea, which can make it difficult for your audience to understand your talk.

Introduction:

  • Tell the audience who you are and present your main argument with key background information.
  • Explain why your presentation is important.
  • Build a rapport with the audience to help them follow what comes next.

Body of your presentation:

  • The largest section of your presentation
  • It supports your main argument with specific examples.
  • Visual aids clarify your points and lend credibility to your presentation.

Conclusion:

  • A strong conclusion summarizes your main points.
  • Use key words from your introduction to briefly re-state your argument.
  • End your presentation with a simple, strong statement.

Preparation

Rather than prepare a script, create a plan for each section or idea with point form notes. A good presentation is not written down word for word or memorized but instead is a discussion of a subject you know inside and out. Speaking from point form notes keeps your delivery fresh. Remember, you are talking to people, not reading at them.

Key technical details can be written down, but it make sure that you include only essential information as too many technical details may confuse your audience and cause them to tune out.

Visual Aids

Visual aids, like PowerPoint slides or printed handouts, offer structure for your presentation and help the audience follow the main points. Visual aids may be bulleted lists or outlines, charts or figures, or images that show important details that would take time to explain orally. Use visual aids to complement, rather than compete, with your presentation. If they are not necessary or helpful, don’t use them.

And never read the exact words from slides that you present.

Rehearse! Focus on tone, volume, word choice, transitions, pauses and pacing. Note time limits. Time yourself and revise as appropriate. Practice your presentation before a friend or family member and ask for feedback.

Get to the room well ahead of time. Listen to some relaxing music if this helps you. Make sure the technology is all up and running if you need to use it.

Chat with people in the audience before you present. This breaks the ice, creates    connections, personalizes the encounter and helps you feel more confident.

Experts often suggest that you focus your presentation on a group of individuals instead of the entire audience. This makes it seem as if you are speaking to a smaller group

Pace and Volume

Take it slow. The single biggest mistake inexperienced speakers make is going too fast. [SB1] Remember that your audience is hearing the material for the first time and isn't nearly as familiar with the topic as you are.

Speak loudly and clearly. Practice pronouncing difficult words in advance.

Body Language and Eye Contact

Make and maintain eye contact with your audience. Always face your audience; avoid reading from your slide presentation and try to look up from your notes regularly.

Stand tall at the front of the room. Don’t sit down, lean on a desk or hide behind a lectern. Try not to sway back and forth.

Answering Questions

Leave time to answer questions, and prepare in advance for possible questions your audience may ask. You can pause to gather your thoughts before you reply, and if something is outside of your comfort zone, simply (and confidently) say “that is outside the scope of this research.”

Share your Personality

Try to have some fun, put your personality into the presentation while maintaining professional decorum. Make the presentation uniquely yours – people will remember you and your message.

How to write a presentation (and deliver it, even via Zoom)

You’ve been asked to give a presentation. Chances are, your response will be roughly one of the following:

1. It’s a subject you’re passionate about and you’re a confident speaker. You’re pleased to have the opportunity.

2. You secretly worry that your style is flat and unengaging. You’re not looking forward to it.

3. At best, the prospect makes you nervous; at worst, terrified. You’d rather have root canal surgery.

If you belong in one of the last two categories, you probably know you’re not alone. You may have heard the statistic that public speaking is more widely feared even than death .

However you feel about the prospect of presenting, this comprehensive guide will take you step by step through the process of planning, writing and delivering a presentation you can be proud of (even via Zoom).

What is a presentation?

Essentially, it’s a story. And its origins go back thousands of years – to when our ancestors gathered around the campfire to listen to the wise elders of the tribe. Without PowerPoint!

These days, presentations encompass the glitz and scale of the Oscars or the new iPhone launch through to business briefings to smaller audiences, in person or – increasingly – online. We’re focusing on the business side.

Whatever the occasion, there’s always an element of drama involved. A presentation is not a report you can read at your leisure, it’s an event – speakers are putting themselves on the spot to explain, persuade or inspire you. Good presentations use this dynamic to support their story.

Always remember: everyone wants you to do well

If you are nervous, always remember: no one sets out to write a poor presentation and no one wants to go to one either. There may be private agendas in the room, but for the most part audiences approach presentations positively. They want to be engaged and to learn. They want you to do well.

First things first: the date’s in the diary and you need to prepare. Let’s break it down.

1. Preparing your presentation

Imagine you’re a designer in the automotive industry and your boss has asked you to give a presentation. The subject: the future of the car and how it will fit with all the other modes of transport.

Where to start? How to approach it? First you need an angle, a key idea.

We talk about ‘giving’ a presentation – and of course it’s the audience who will be receiving it. So, instead of beginning with cars (in this case), let’s think about people. That way we can root the talk in the everyday experience we all share.

Maybe you remember a time you were stuck in traffic on a motorway. Morning rush hour. No one moving. Up ahead children were crossing a footbridge on their way to school, laughing at the cars going nowhere. And you thought, ‘Enjoy it while you can! This will be you one day.’ But maybe not. Surely we can do better for future generations!

There’s your opening – the whole issue captured in a single image, and you’ve immediately engaged your audience with a simple story.

The who, the why and the what

Always begin with the people you’ll be addressing in mind. Before you start writing, answer three fundamental questions: who is your audience, why are you talking to them and what do you want to say?

The answers will provide the strong foundations you need and start the ideas flowing. Ignore them and you risk being vague and unfocused. Clear writing is the result of clear thinking and thinking takes time, but it’s time well spent.

Start with the audience

Are you a senior car designer talking to your team? If the answer’s yes, you can assume high-level, shared knowledge.

But if you’re talking to the sales or marketing departments, you can’t make the same assumptions – there are issues you might have to explain and justify. And if it’s a press briefing, it’s about getting the message out to the general public – a different story again.

Knowing your audience will also dictate your tone. Your presentation to the board is likely to be quite formal, whereas a talk for your team can be more relaxed.

And what’s the audience’s mood? On another occasion you might have bad news to deliver – perhaps the national economy and the company’s finances are threatening people’s jobs. Then you must empathise – put yourself in their position and adapt your tone accordingly.

I want to …

You also need a clear objective (the why ). For our car designer, the overriding objective should be to plant a key idea in the audience’s mind. Starting with that image of the schoolchildren, it’s to convince the audience that the company has a radical and distinctive design future.

That’s the takeaway. How should they do that? Should they explain, persuade or inspire – the three key strategies for any presentation? You may need to use several of them to achieve your goal.

Objectives should always complete the statement ‘I want to …’. What do you want to do ?

It’s about …

The what is the substance of your presentation – the building blocks, all the facts and figures that tell the audience ‘It’s about …’.

Back to our designer. The move away from petrol and diesel will allow a complete rethink of car design. The electric power unit and battery can lie under the car’s floor, freeing up all the space taken up by the conventional engine. And then there are all the issues around emission-free, autonomous vehicles in the ‘smart’ cities of the future.

When you’re planning, it can be helpful to get all the information out of your head and onto the page, using a mind map , like the example below (for a talk on UK transport policy).

This is an effective way of unlocking everything you know (or still need to do more research on). Start with your main topic, then keep asking yourself questions (like who, what, when, where, how and why) to dig into all the aspects.

Once you’ve got it all out on the page, you can identify which parts actually belong in your presentation. Don’t try to include every last detail: audiences don’t want to process piles of information. They are more interested in your ideas and conclusions.

Now let’s put all this research and planning into a structure.

2. How to structure your presentation

On 28 August 1963, Dr Martin Luther King Jr stood on the steps of the Lincoln Memorial in Washington DC and delivered one of the most powerful speeches in history: ‘I have a dream’.

He was the leader of the civil rights movement in the US and his audience that day numbered in the hundreds of thousands. His goal was to inspire them to continue the struggle.

Presentations usually aim to either explain, persuade or inspire – sometimes with elements of all three. Your aim will determine your structure. This will be the backbone of your presentation, giving it strength and direction.

Explain in a logical sequence

When you explain, you add to people’s knowledge to build the key idea. But ask yourself, what does this audience already know?

If you’re an astrophysicist talking to an audience of your peers, you can use terms and concepts you know they’ll be familiar with. If you’re explaining black holes to Joe Public, you can’t do that. Typically, you’ll have to use simple analogies to keep the audience with you (‘Imagine you’re in a huge dark room …’).

Whether it’s black holes or new software, good explanations start with what we know and then build on that understanding, step by step, layer by layer. The audience will stay with you if they can follow your logic and you can help this with linking comments – ‘Building on that … ‘, ‘This means …’, ‘To illustrate that, I’ve always found …’.

We need to change

If you’re writing a persuasive presentation, you also need to follow a particular sequence.

Whether you’re writing a pitch for a prospective customer or making research-based recommendations to a client, you follow the same structure. That structure is the Four Ps . It’s a powerful way of leading your audience’s thinking.

Start with the current situation – where you are now ( position ). Explain why you can’t stay there, so the audience agrees things have to change ( problem ). Suggest up to three credible ways you can address the issue ( possibilities ). Then decide which one is the optimum solution ( proposal ).

Three is a magic number for writers – not too many, not too few. But there may be one standout possibility, in which case you go straight to it ( position, problem, proposal ).

Think about how the pandemic has profoundly changed our working lives. Towns and cities are full of offices that people used to commute to. But to maintain social distancing, we’ve been encouraged to work from home where possible and to stay away from public transport.

At some point, decision-makers within organisations will have to make a call – or share a recommendation – about what to do long term. Should we go back to the office, stay at home or combine the two?

If we had to present on this choice using the Four Ps structure, we could outline the pros and cons of each possibility and then make a push for the one we recommend above the others. Or we could join the likes of Google and Twitter and simply propose purely remote working well into the future.

I have a dream

A presentation that inspires is about the future – about what could be. Scientists inspire children to follow careers in astronomy or physics with their passion and stunning visuals. Designers re-energise companies with their radical, exciting visions. Business leaders convince their staff that they really can turn things around.

An audience watching an inspirational presentation is not going to take away lots of facts and figures. What’s important is their emotional and intellectual engagement with the speaker, their shared sense of purpose. One way to build that engagement is with your structure.

From dark to light

The most inspiring presentations are so often born of shared struggle. On 13 May 1940, Winston Churchill addressed the British parliament – and the British people listening on their radios – in the darkest days of the Second World War.

He was brutally realistic in his assessment of the current position: ‘We have before us many, many long months of struggle and of suffering.’ He then set out his policy: ‘To wage war by sea, land and air, with all our might … against a monstrous tyranny’, and the prize: ‘Victory, however long and hard the road may be.’

In difficult situations, audiences immediately see through false hope and empty rhetoric. They want honest acknowledgement, and the determination and clear strategy to lead them to the future.

We can imagine how the same structure could show up in a more business-related context:

‘I’m not going to sugar-coat the figures. We have to change to save jobs and secure our future. There will be dark days and sacrifices along the way, but what’s the hardest part of any turnaround? It’s getting started. To do that, we all need to keep asking two fundamental questions: where can we improve, how can we improve? And if we push hard enough and if we’re utterly relentless, change will come and our momentum will build.’

Are you going to appeal to your audience’s

  • habits of thought (current beliefs)?

If your recommendations run counter to their current beliefs, try appealing to their emotions.

3. Writing your presentation script

You don’t have to write a script. Some people put a few PowerPoint slides together and wing it; others make do with bullets on a smartphone, laptop or cue cards. It depends on the event and the presenter.

Writing a full script takes time, but if it’s a very important presentation and you might use it again – perhaps to appeal for investment – it will be worth it.

Some people will write a full script because the company or organisation that’s commissioned a presentation will want to see a copy well ahead of the event (often for legal reasons). Others will write the script, edit it down to the required time and then edit it down again to bullets or notes.

If the presentation is to a small audience, your notes or bullets will suit a more conversational approach. There are no rules here – see what works best for you. But what you must do is know your subject inside out.

To write clearly, you must think clearly and a full script will expose the areas that aren’t clear – where an explanation needs strengthening, for example, or where you should work on a transition.

Timing is everything

A full script also helps with working out timing, and timing is crucial. TED talks, for example, have a strict 18-minute limit, whether in front of an audience or online. That’s short enough to hold attention, but long enough to communicate a key idea. (The ‘I have a dream’ speech lasted 17 minutes 40 seconds and it changed the world.)

It takes a very skilled presenter to go much over 30 minutes. If you are taking questions during or after your presentation , however, it’s fine to build in extra time.

Imagine you’re writing your presentation in full and your slot is 20 minutes. On an A4 page with a 14-point Calibri font and 1.5 line spacing, that will equate to about 10 pages.

You can also divide the page in two, with slides on the left and text on the right (or vice versa). Then you can plan your words and visuals in parallel – and that will be roughly 20 pages.

How should they do that? Should they explain, persuade or inspire – the three key strategies for any presentation? You may need to use several of them to achieve your goal.

The most powerful key on your keyboard – Delete

Use these numbers as your goal, but your first draft will probably be longer. That’s when you start deleting.

Be ruthless. Anything not adding to the story must go, including those anecdotes you’ve been telling for years ( especially those anecdotes). It’s not about what you want to tell the audience, it’s about what they need to hear.

Don’t feel you have to include every single issue either. Dealing with two or three examples in some detail is far better than saying a little bit about many more.

And interpret visual material you’re displaying rather than describing it, just as you wouldn’t repeat the text that’s on the screen. The audience can see it already.

It’s a conversation

Be yourself – don’t write a script that’s not in your style. We want the real you, not a supercharged version.

Some people are naturals when it comes to presenting – which can mean they’ve learned how to draw on their authentic strengths.

Sir David Attenborough is a great example. He has a wide-ranging knowledge of the natural world. He has an infectious passion and enthusiasm for his subject. And most importantly, he doesn’t lecture the camera: he talks naturally to his audience (and he’s now using Instagram to inspire new generations).

You can take a cue from Sir David and make your presentation style your own. Knowing your own strengths and really understanding your why will help you speak with purpose and passion.

And aim to speak naturally. Use conversational, inclusive language. That means lots of personal pronouns ( I believe, we can) and contractions ( Don’t you wonder …, you’re probably thinking …).

Sir David Attenborough introduces his new series, Our Planet at its premiere. He builds up our awareness by layering information alongside arresting statistics. These are framed simply, in relatable terms (‘96% of mass on the planet is us …’), so we easily grasp their shocking significance. He also uses ‘we’ and ‘us’ a lot to underline how this environmental emergency affects us all on ‘the planet we all call home’.

Finding the right words

Imagine you’re talking to someone as you write. And try saying the words out loud – it’s a good way to catch those complex, overlong sentences or particular words that will be difficult to say.

Presentations are not reports that can be reread – the audience has to understand what you are saying in the moment . Don’t leave them wondering what on earth you’re talking about, as they will only fall behind.

So avoid using long or complex words, or words you wouldn’t hear in everyday conversation (if your everyday conversation includes ‘quarks’ and ‘vectors’, that’s fine). And beware of jargon – it can exclude the audience and it quickly becomes clichéd and outdated.

Here are some more hints and tips on how to write effectively for speaking:

Syntax (word order): Disentangle your thoughts and arrange the words in your sentences to be simple and logical. Often, complex syntax shows up when the main point is getting lost inside excess information (or that the speaker is unsure what their main point is).

Pace, rhythm and tone: Varying the pace, rhythm and tone of sentences makes both the speaking and listening experience far more enjoyable.

Make sure the stress falls on the most important words. For example, ‘To be or not to be ‘ (where the stress rises and falls on alternate words) or ‘I have a dream ‘ (where the stress falls on the final word).

Vary the length of sentences and experiment with using very short sentences to emphasise a point.

Play with rhythm by arranging words in pairs and trios. Saying things in threes gives a sense of movement, progression and resolution: Going, going … gone . Saying words in pairs gives a more balanced tone (‘courage and commitment’, ‘energy and effort’) or a sense of tension between the words (‘war and peace’, ‘imports and exports’).

Analogies: Good analogies can work well in presentations because they paint vivid pictures for the audience. The best way to do it is to use either a simile (‘It wasn’t so much a dinner party, more like feeding time at the zoo’) or a metaphor (‘He was the fox and the company was the henhouse’).

Alliteration: This means using two or more words that start with the same sound, like ‘big and bold’, ‘sleek and shiny’ or ‘key components’. On the page alliteration may look contrived, but it can effectively highlight important phrases in a presentation.

Words to avoid: Be careful about using clichés like ‘pushing the envelope’, ‘playing hardball’ and ‘thinking outside the box’. And think carefully about using any word that ends with -ism, -ise, -based, -gate, -focused and -driven.

Be careful with humour too: don’t write jokes unless you can naturally tell them well. Keep the tone light if it fits the occasion, but a badly told joke can be excruciating.

4. How to start your presentation

People tend to remember beginnings and endings the most, so make sure your opening and conclusion are both strong.

You have about a minute to engage an audience. You want them to be intrigued, to want to know more, to come slightly forward in their seats. If you only learn one part of your presentation by heart, make it that minute.

A quick ‘thank you’ is fine if someone has introduced you. A quick ‘good morning’ to the audience is fine too. But don’t start thanking them for coming and hoping they’ll enjoy what you have to say – you’re not accepting an Oscar, and they can tell you what they thought when it’s over. Get straight down to business.

There are four basic types of introduction which will draw your audience in:

  • News – ‘Positive Covid-19 tests worldwide have now reached …’
  • Anecdotal – ‘About ten years ago, I was walking to work and I saw …’
  • Surprise – ‘Every five minutes, an American will die because of the food they eat.’
  • Historical – ‘In 1800, the world’s population was one billion. It’s now 7.8 billion.’

You can interpret these beginnings in any number of ways. If you were to say, ‘I have an admission to make …’, we will expect a personal anecdote relating to your main theme. And because you’re alone in front of us, it’s playing on your vulnerability. We’re intrigued straight away, and you’ve established a good platform for the rest of the presentation.

You can also combine these techniques. The historical beginning creates a sense of movement – that was then and this is now – as well as a surprising fact. It may prompt a thought like, ‘Wow, where’s this going?’ And you can trade on this with your own rhetorical question: ‘What does this mean for everyone in this room? It’s not what you think …’.

As well as setting up your story, you need to quickly reassure the audience they’re in safe hands. One way to do that is to give them a map – to tell them where you’re going to take them and what they’re going to see along the way.

Then you’re starting the journey together.

5. How to end your presentation

Your ending is what you want the audience to take away: your call to action, your vision of the future and how they can contribute.

If your presentation is online or to a small group in a small room, your ending is not going to be a battle cry, a call to man the barricades – that would be totally inappropriate. But equally don’t waste it with something flat and uninspiring.

Here are four effective ways to end your talk (like the intros, you can combine them or come up with your own):

  • Predict the future – ‘So what can we expect in the next ten years? …’
  • Quotation – ‘As our chief exec said at the meeting yesterday, …’
  • Repeat a major issue – ‘We can’t carry on with the same old same old.’
  • Summarise – ‘Continuous improvement isn’t our goal. It’s our culture.’

Predicting the future fits well with a historical beginning – it completes the arc of your presentation.

If you end with a quotation, make sure it’s relevant and credible – it has to be an authoritative stamp.

Repeating a major issue means pulling out and highlighting a major strand of your presentation, while summarising is about encapsulating your argument in a couple of sentences.

Your ending can also be a change of tone, perhaps signalled by the single word ‘Finally …’. It’s the audience’s cue to come slightly forward again and pay close attention.

As with your opening, it will have more impact if you’ve learned your ending – put down your notes, take a couple of steps towards the audience and address them directly, before a simple ‘Thank you.’

6. Creating your PowerPoint slides

We’ve all been there – watching a seemingly endless, poorly designed slide deck that’s simply restating what the presenter is saying. So common is this tortuous experience that there’s a name for it: Death by PowerPoint. But it doesn’t have to be like this.

Do you need slides at all?

As with your script, the first thing you should ask is ‘Do I actually need this?’ In 2019, Sir Tim Berners-Lee gave the Richard Dimbleby lecture for the BBC. He spoke for about 40 minutes with no autocue (he’d memorised his script) – and no speaker support.

This is a uniquely powerful form of presentation because the audience’s attention is totally focused on that one person. The call to action at the end of a presentation and delivering bad news are also best done without visuals.

Visual support

But if they’re well-judged and relevant, slides or other visuals can add enormously to a presentation – whether it’s photography, video or the ubiquitous PowerPoint. There are, however, two things everyone should know about PowerPoint in particular:

  • It’s incredibly versatile and convenient.
  • In the wrong hands, it can be unbearably tedious.

Your PowerPoint slides should not essentially be your cue cards projected onto a screen. They shouldn’t be packed margin to margin with text or full of complex diagrams.

If the presentation is live, the audience has come to watch you, not your slide deck. Online, the deck may have to work harder to sustain visual interest.

As with the script, keep your finger poised over that Delete key when you’re putting the deck together.

How many slides?

There’s no hard-and-fast rule about how many slides you should use, but think in terms of no more than one or two a minute on average. And don’t use more than a couple of short video inserts in a 20-minute presentation.

You might have a section where you show a few slides in a sequence or hold a single slide for a couple of minutes, which is fine. Varying the pacing helps to keep a presentation moving.

Optimise for psychology

As self-professed presentation aficionado David JP Phillips notes in his TEDx talk , people – and that includes your audience – have terrible working memories. If you don’t account for this fact in your slides, your talk will not have a lasting impact. In fact, most of it will be forgotten within around 30 seconds.

To counter this effect, David identifies five key strategies to use when designing your PowerPoint:

  • Only have one message per slide: more than that and you’re splitting your audience’s attention.
  • Don’t use full sentences on slides, and certainly don’t imagine you can talk over them if you do. People trying to read and listen at the same time will fail at both and absorb nothing. Move your running text into the documentation section instead, and keep the slide content short and sweet.
  • People’s focus will be drawn to the biggest thing on the slide. If your headline is less important than the content below it, make the headline text the smaller of the two.
  • You can also direct people’s attention using contrast. This can be as simple as guiding their point of focus by using white text (on a dark background) for the words you want to highlight, while the surrounding text is greyed out.
  • Including too many objects per slide will sap your audience’s cognitive resources. (Your headline, every bullet, any references, even a page number each count as an object.) Include a maximum of six objects per slide and viewers will give a mental sigh of relief. This will probably mean creating more slides overall – and that’s fine.

More Powerpoint and visual aid tips

Here are a few more guidelines for creating your visual aids:

  • Never dive into PowerPoint as job one in creating your presentation. Work out your talk’s structure (at least) before designing your slide deck. Making a genuinely effective PowerPoint requires that you know your subject inside out.
  • List any visuals you’ll need as you prepare your script. That terrific photo you saw recently could be difficult to track down, and you might need permission and to pay to use it.
  • It bears repeating: keep each slide to one key idea.
  • Use the build effect of adding one bullet at a time (or use the contrast trick above) and try not to use more than three bullets per frame (or six objects overall).
  • Strip each bullet to the bare minimum – no articles (‘a’, ‘an’ and ‘the’), no prepositions (‘in’, ‘at’, ‘to’ etc) and cut right back on punctuation.
  • Every word that’s not there for a reason has to go. Delete, delete, delete.

‘Extra’ slides

  • Use a ‘walk-in’ slide. Rather than have the audience arrive to a blank screen, this tells them who you are and your presentation’s title.
  • Use occasional holding slides in between those with more content – perhaps an image but no text. They give the audience a visual rest and put the focus back on you.
  • A plain white background might look fine on a computer monitor, but it will be glaring on a big screen. Invert the norm with a dark background, or use shading or ‘ghosted’ images to break up backgrounds and add visual interest.
  • Some colours work better than others on-screen. Blues and greys are soft and easy on the eye. Red is a no-no, whether for backgrounds or text. And if you stick with a light background, favour a more subtle dark grey over black for the text.
  • Use sans serif fonts (like Arial, Helvetica or Calibri) and think about point size – make sure it’s easily legible.
  • Only use upper case where absolutely necessary.

Images and data

  • Photos work well full screen, but they also really stand out well on a black background.
  • Make sure your charts and graphics aren’t too complex. The dense information that’s fine on the page will not work on-screen – it’s too much to take in. Graphs behind a TV newsreader are often reduced to a single line going dramatically up or down.
  • Don’t present data or graphs and expect them to speak for themselves. You need to find the story and significance in the data and present that .

And finally

  • Proofread, proofread, proofread – or risk standing in front of an embarrassing spelling mistake.

Technical check

  • Check what laptop they’re using at your venue. If you’ve written your deck on a PC, run it on a PC (and, of course, the same rule applies if you’ve used a Mac).
  • If you’ve emailed your presentation to the venue, take a USB copy along as back-up.
  • If you’re presenting online, check which platform you’ll be using and get comfortable with it. If someone else will be hosting the event, make sure you arrange a time for a rehearsal, especially if there will be a producer.

7. Delivering your presentation

You’ve put a lot of time and effort into preparing your presentation and now you’ve come to the sharp end – it’s time to stand and deliver.

Run it through

You don’t have to rehearse, but most presenters do and for good reason – it catches weak points and awkward transitions. And, crucially, it bolsters confidence.

Read your script or go through your bullets aloud – it will help to settle your nerves. If you use colleagues as a dummy audience, you can do a sense check too: ‘Does that bit work?’ ‘Have I explained it clearly?’ ‘Do you get the big picture?’ And rehearsing out loud will catch those words and sentences you thought you could say but can’t.

The more you rehearse, the more familiar and natural the presentation will become. Rehearse the technical side too – where the video is going to come in, how you’re going to vary your pace and tone to maintain interest.

Try speaking slightly more slowly than you would normally so the audience catches every word, and don’t be afraid to pause now and again. It gives a breathing space for you and the audience.

Connect with your audience

When you deliver your presentation for real, establish eye contact with the audience, just as you would in a conversation. In a small room with a small audience, talk to individuals. In a larger space, don’t talk to the first couple of rows and ignore the rest – include everyone.

And if you stumble over your words here or there, carry on and don’t dwell on it – you’ll lose your concentration. Audiences are generally forgiving and they might not even notice.

Each audience is unique: they react differently in different places. And although tomorrow might be the tenth time you’ve done the same presentation, it will be the first time this audience sees it. Your duty is to keep it fresh for them.

A final point

This is your presentation – you’re in control and the audience needs to feel they’re in safe hands.

It’s perfectly natural to feel nervous , but it’s the thought of doing it that’s the worst bit. Once you get going – and especially when you sense the audience is with you – the nerves will start to disappear. Try to enjoy it. If you enjoy it, it’s far more likely the audience will too.

And remember: everyone wants you to do well.

8. How to present online

Taking to Zoom or another online platform to present was once the exception. These days, online presenting is as essential a skill as presenting in person.

The switch to online can be nerve-wracking and cause even usually skilled presenters to falter. But there’s no need for that to happen.

Indeed, all of the advice we’ve talked about on preparing, structuring and writing for in-person presenting is equally relevant for your online delivery. You just need to be ready for the unique challenges that remote presentations pose.

An obvious one is that while you still have an audience, it will probably be muted and possibly even unseen (if webcams are switched off). This makes it far more difficult to gauge audience reaction, and if the event is pre-recorded, there might not be any at all – at least not immediately. Clapping and laughing emojis are not quite like the real thing.

Keep eye contact

But although your audience may be many miles away, there are still ways you can – and should – create a sense of connection with them. Your presentation will have much more impact if you do.

Whether the event is live or recorded, at least start with your webcam on (unless you really can only use slides). If it’s an option and feels appropriate, consider keeping your camera on throughout – remember, you are the presentation as much as any visuals.

If you will be on display, make sure you know where your webcam’s lens is and at key moments of your talk look directly into it – and out at your audience – to punctuate those points.

And don’t look at a second screen to cue up your PowerPoint – viewers will think your attention is wandering.

Engage your online audience

Being an engaging speaker is always important, but remember that the online world is already a place we associate with distraction. It’s also easier for a viewer behind their laptop to disguise their wandering attention than it would be for one in an auditorium or boardroom.

This isn’t to say your audience don’t want to give you their attention. But it is more important than ever to keep your presentation sharp and concise. Revisit your structure, your script or cue cards and your slides. Take a really critical eye to it and (as always) delete, delete, delete anything that’s not directly relevant.

If it works for your format, you can look at making your presentation interactive. You can then break the content into short segments, interspersed with comment, polls, questions and discussion. The variety will be a welcome change for your viewers.

Your visuals are part of what will keep people with you – along with the interplay you create between you and them. This means following the best-practice guidance we covered earlier is even more important.

Modulate your voice

Your tone of voice is extremely important here because presenting online is like radio with pictures. When people say ‘You have a great voice for radio’ what they mean is that it’s easy to listen to, often because you’re using quite a low-pitched, warm and relaxed register.

Listen to voices on the radio and voiceovers and identify the ones you particularly enjoy. What do you like about them? Why do you enjoy some voices and not others?

A flat, unmodulated voice, for instance, is difficult to listen to for long periods (and isn’t likely to inspire anyone).

Experiment with intentionally adding energy to your voice, as internet audio can have a dulling effect. As our trainer Gary Woodward puts it: ‘Turn up the enthusiasm dial even higher than you think, to make sure it comes through.’ And always vary your pace and tone as you would in a normal conversation.

And if it suits the tone of your talk, smile now and again. Smiling is contagious, and people will hear it in your voice even if they can’t see you.

Perfect your transitions

One of the other key challenges of remote presentations is that you have another layer of technology to wrestle with: sharing your PowerPoint online.

This means that many presentations begin with the popular catchphrase ‘Can you see my screen?’

This can also cause many presenters to stumble through their transitions, making the links between their slides clunky. And while remote audiences may be forgiving, for a slick presentation it’s best to prevent these sort of fumbles.

Naturally, practice plays a part here. But you can also give yourself the advantage with your set-up.

Dave Paradi from Think Outside the Slide explains one great way of setting up Zoom so you can smoothly cue up and run your slide deck – and be certain what’s being displayed.

You’ll even be able to see the rest of your screen (but the audience won’t). As you’ll be able to see what’s coming up, your transitions can also be seamless.

The trick is to use one of Zoom’s advanced settings after you hit ‘Share screen’, to share only a portion of your screen:

This will give you a frame you can move to the part of the screen you want the audience to see.

Put your PowerPoint slides into ‘presenter view’ before launching the screenshare. Then you’ll be able to see the upcoming slides and your notes throughout, and your animations (like build slides) will work as normal.

The other part of the trick? Set it up in advance shortly before you’re due to speak. Once you’re happy with the set up, you can stop sharing until it’s time to kick off your talk. When you return to ‘Share screen’ again, it will reopen the frame in the same place.

Five practical tips for a truly professional online presentation

You’re happy with the content of your talk, you’ve ruthlessly streamlined your slides and mastered your radio voice. Now just make sure you cover these crucial practicalities for a polished presentation:

1. Create a good space Make sure you have your environment well set up:

  • Keep the background on display as tidy and minimalist as possible – a plain wall or backdrop is great, if you can.
  • Manage and minimise background noise (shut the window, ensure your phone’s on silent, put the cat out, make sure someone’s watching the kids in another room – whatever it takes).
  • Check your lighting: have your light source in front of you, not behind you (or you’ll be in shadow).
  • Set up your computer or device at eye level so that you are well-framed and facing it straight on – avoid looming above it while providing a lovely view into your nostrils.

2. Think about your appearance Dress in the same way you would if the presentation were in person, and judge your choice of attire based on the formality of the event and your audience.

3. Practise! Run through the presentation and rehearse the technical side. Practise your transitions, including the initial cueing up of your slides (perhaps using the Zoom tip above), so that you can be confident in doing it all smoothly.

4. Be primed and ready Log in early on the day of your talk. Check all your tech is working, get your headset on and ensure everything is set up well ahead of time. This will save any last-minute issues (and stress) and means you can hit the ground running.

5. Stand and deliver Even online, consider giving your presentation standing up, if you can do so comfortably (adjusting your device or webcam accordingly). This may put you more into a presenting frame of mind and will differentiate you from most remote presenters.

Are you still there?

Live audiences have a group dynamic – as soon as a few people start laughing it becomes infectious and the others join in. It’s naturally different online. But that doesn’t have to throw you.

You might not get that immediate feedback, but don’t overcompensate and feel you have to win them back.

Yes, it’s often more difficult to gauge an audience’s reaction online – especially if their audio is muted and their webcams off. Yes, this can be daunting. But they are still out there listening. You may or may not hear (or see) laughter, but they could still be smiling and very interested in what you have to say. Have faith in your own content. Whatever form your delivery will take, keep coming back to your purpose and message for giving this talk – and keep considering the people you’ll be talking to. Whether the address will be online or in person, it is keeping this focus which is the key to every powerful presentation.

Presentations enable students to practice their verbal communication skills. Students ‘become the professional' by sharing a project, lesson plan, interpretation, etc. with the class. Some instructors schedule presentations the last few weeks of the semester. Others spread them throughout the semester.

Many instructors prefer collaborative presentations, which consist of groups sharing responsibilities. From experience with groups, many instructors advise assigning individuals within groups specific duties or a confidential and brief evaluation paper explaining the group's conduct and struggles to allow students to comment on distribution of the workload and attempts at communicating with other group members. Group presentations make a strong alternative to a traditional final exam, and it is less grading for the instructor.

16 Presenting as a Group

Imagine you have been assigned to a group for a project requiring a presentation at the end. “Now is the busiest time in my schedule and I do not have time to fit all these people into it,” the voice in your head reminds you. Then you ask the question: “Is there ever a non-busy time for assembling a group together for a presentation ?” These thoughts are a part of a group presentation assignment. The combined expertise of several individuals is becoming increasingly necessary in many vocational (related to a specific occupation) and avocational (outside a specific occupation) presentations.

Group presentations in business may range from a business team exchanging sales data; research and development teams discussing business expansion ideas; to annual report presentations by boards of directors. Also, the government, private, and public sectors have many committees that participate in briefings, conference presentations, and other formal presentations. It is common for group presentations to be requested, created, and delivered to bring together the expertise of several people in one presentation. Thus, the task of deciding the most valuable information for audience members has become a coordination task involving several individuals. All group members are responsible for coordinating things such as themes, strong support/evidence, and different personalities and approaches in a specified time period. Coordination is defined in the dictionary as harmonious combination or interaction, as of functions or parts.

This chapter focuses on how the group, the speech assignment, the audience, and the presentation design play a role in the harmonious combination of planning, organization, and delivery for group presentations.

Preparing All Parts of the Assignment

In group presentations, you are working to coordinate one or two outcomes—outcomes related to the content (product outcomes) and/or outcomes related to the group skills and participation (process outcomes). Therefore, it is important to carefully review and outline the prescribed assignment of the group before you get large quantities of data, spreadsheets, interview notes, and other research materials.

Types of Group Presentations

A key component of a preparation plan is the type of group presentation. Not all group presentations require a format of standing in front of an audience and presenting. According to Sprague and Stuart (2005), there are four common types of group presentations:

  • A structured argument in which participants speak for or against a pre-announced proposition is called a debate . The proposition is worded so that one side has the burden of proof, and that same side has the benefit of speaking first and last. Speakers assume an advocacy role and attempt to persuade the audience, not each other.
  • The forum is essentially a question-and-answer session. One or more experts may be questioned by a panel of other experts, journalists, and/or the audience.
  • A panel consists of a group of experts publicly discussing a topic among themselves. Individually prepared speeches, if any, are limited to very brief opening statements.
  • Finally, the symposium is a series of short speeches, usually informative, on various aspects of the same general topic. Audience questions often follow (p. 318).

These four types of presentations, along with the traditional group presentation in front of an audience or on-the-job speaking, typically have pre-assigned parameters. Therefore, all group members must be clear about the assignment request.

Establishing Clear Objectives

For the group to accurately summarize for themselves who is the audience, what is the situation/occasion, and what supporting materials need to be located and selected, the group should establish clear objectives about both the process and the product being assessed.

Assessment plays a central role in optimizing the quality of group interaction. Thus, it is important to be clear whether the group is being assessed on the product(s) or outcome(s) only or will the processes within the group—such as equity of contribution, individual interaction with group members, and meeting deadlines—also be assessed. Kowitz and Knutson (1980) argue that three dimensions for group evaluation include (1) informational —dealing with the group’s designated tasks; (2) procedural —referring to how the group coordinates its activities and communication; and (3) interpersonal —focusing on the relationships that exist among members while the task is being accomplished. Groups without a pre-assigned assessment rubric may use the three dimensions to effectively create a group evaluation instrument.

The group should determine if the product includes both a written document and an oral presentation. The written document and oral presentation format may have been pre-assigned with an expectation behind the requested informative and/or persuasive content. Although the two should complement each other, the audience, message, and format for each should be clearly outlined. The group may create a product assessment guide (see Table 1) . Additionally, each group member should uniformly write down the purpose of the assignment. You may think you can keep the purpose in your head without any problem. Yet the goal is for each member to consistently have the same outcome in front of them. This will bring your research, writing, and thinking back to focus after engaging in a variety of resources or conversations.

Once the assignment has been coordinated in terms of the product and process objectives, type of presentation, and logistics, it is important for the group to clearly write down the agreed outcomes. Agreed outcomes about the product include a purpose statemen t that reflects an agreement with the prescribed assignment (i.e. “at the end of our group presentation the audience will be informed or persuaded about the prescribed assignment”). It also includes the key message or thesis to be developed through a presentation outline , a full-sentence outline of virtually everything the speaker intends to say. The outline allows the speakers to test the structure, the logic, and persuasive appeals in the speech (DiSanza & Legge, 2011, p. 131).

Logistics for Group Members

As a group, be very clear about the length of your presentation and its preparation. The length of the presentation refers to your time limit, and whether there is a question and answer period involved. Assignment preparation may or may not have a prescribed deadline. If the assignment does not have a deadline, then set one as a group. If there is a deadline, then the group begins by creating a schedule from the final deadline. As a group, create an action timetable explicitly listing all processes and outputs, as well as communication update points.

As a group, decide the best way to leave enough time in the end to put all the pieces together and make sure everything is complete. If there is a written document, it should be completed prior to the oral presentation rather than at the same time. As a group, realize not everyone may work off a physical calendar. Thus, do not hesitate to require each member to write down all deadlines.

Next, the group can strategically add meeting dates, times, and venues to the action timetable. A meeting is a structured conversation among a small group of people who gather to accomplish a specific task (Beebe & Mottet, 2010). For group presentations, meetings do not always include the entire group. So a schedule of who meets with whom and when is useful for planning work and agendas. In addition, all meetings do not serve the same purpose. For example, informational meetings may be called simply to update all group members; solicitation meetings are called to solicit opinions or request guidance from group members; group-building meetings are designed to promote unity and cohesiveness among group members; and problem-solving meetings result in making decisions or recommendations by the time the meeting convenes.

Once the group is unified about the assignment objectives and time frame, it is vital to predetermine the type of note-taking required of each group member (which may vary) and the variety of information exchange. The more systematic a group is in these two areas, the more unified the process and the product. The system begins with each group member writing down the message, specific purpose, and central ideas for the group presentation. If these are still to be determined, then have each group member identify the areas of background information needed and basic information gathering. Next, simply create a general format for note-taking—whether typed or handwritten and what types of details should be included especially sources. Also with the increasing use of electronic databases be very clear on when related articles should be forwarded to group members. The email inbox flooded with PDF files is not always a welcome situation.

The group should be clear on the explicit requirements for locating recent, relevant, and audience-appropriate source material for the presentation. All of this leads to the foundation of clearly defining the responsibilities of each group member. All tasks should be listed, given deadlines, and assigned people. A means for tracking the progress of each task should be outlined. The group should be clear on what are individual, joint (involving more than one group member), and entire group tasks. Throughout the entire process, all group members should be supportive and helpful but should not offer to do other people’s work.

Organizing for Your Audience

Organizing for your audience relates to how the gathered content can be best arranged for them. According to Patricia Fripp (2011), a Hall of Fame keynote speaker and executive speech coach, any presentation can be intimidating but the key is to remember “your goal is to present the most valuable information possible to the members of the audience” (p. 16). Now what you think is most valuable and what the audience thinks is most valuable must be coordinated because of differences in perception (the process by which we give meaning to our experience). Therefore, organizing for your audience is focused on content, structure, packaging, and human element—not for you, not for the assignment, but for the audience. A customized plan of organization will assist your group in creating relevant messages that satisfy others’ personal needs and goals (Keller, 1983).

Audience members are interested in your expertise that has been developed from solid research and preparation. Audience members may have expectations about what foundational literature and key sources should be contained within your presentation. Therefore as a group, you need to go beyond providing a variety of supporting material within your presentation to considering who will be present, levels of expertise, and their expectations. In general, organizing the content should be focused on usage, knowledge levels, and objectives. First, usage refers to how audience members expect to use your presentational content which will help the group transform ideas into audience-centered speech points. Second, knowledge level means the audience’s knowledge level about the topic within the audience which assists the group in developing supporting material for the entire audience. Third, the objectives are linked to how the content serves the audience’s needs and assists the group in being intentional about helping the audience see the reason for their involvement and receive value for the time they devoted to attend. Overall, the content is coordinated in a way that keeps at the forefront who the decision-makers are and what specifics they need to know, would be nice to know, and do not need to know.

Next professionally packaging a presentation for the audience deals with the structure or how you arrange points. The structure takes into consideration a strong opening, logical order, relevant key points, conciseness, and use of supplementary visual aids. In addition, the linking of points involves conversational language and the appropriate use of acronyms and technical jargon for inclusion or exclusion. The focus is geared to the perception of trustworthiness. Three strategic questions to answer include:

  • What qualities as a group will demonstrate your trustworthiness to this audience?
  • What content order needs to be achieved to give a consistent perception of fairness?
  • What content requires repeating and how should that be achieved—through comparisons, examples, illustrations, etc.?

The packaging of successful group presentations revolves around the type of relationship with the audience, the division of time, and enthusiasm. An important dynamic of group presentations is for your group to know if audience members will be required to give an internal presentation or briefing from your presentation. As a group, know if you are packaging a one-time presentation, bidding for a long-term relationship, continuing a relationship for offering expertise, or if the presentation is tied to internal pressures to performance appraisals. Such knowledge will aid your group in developing talking points which can be re-presented with accuracy.

The type of presentation will help you divide the time for your presentation. The majority of the time is always spent on the body of the speech. A typical 30-minute speech might be divided into four minutes for the introduction, ten minutes for the body, and four minutes for the conclusion. The remaining 12 minutes is for the audience to ask questions, offer objections, or simply to become part of the discussion. It is important to leave enough time for the audience to contribute to the intellectual content. Therefore, always design group presentations with the intent not to run out of time before the audience can participate. All group presentations should have enthusiasm. Group members should be enthusiastic about the audience, message, and occasion. Planned enthusiasm should play a role in creating the introduction, conclusion, and body of your presentations. The consistent use of enthusiasm can be planned throughout the speech outline.

Human Element

Now it is time to focus on compatibility. As a group, consider what will it take to get this audience to pay attention to your presentation. Answer questions such as:

  • What can your group do to develop an introduction, transitions, and conclusions in a way to connect with this audience?
  • What types of stories are common or relatable to this audience?
  • What are the attitudes, beliefs, and values of this audience?

Delivering Your Presentation as One

By completing the other levels of coordination, the group will have decided on the key message, thoroughly researched the supporting material, developed logical conclusions, and created realistic recommendations. Therefore all that stands between you and success is the actual presentation—the vehicle that carries the facts and the ideas to your audience. Here it is important to recognize that if an assignment required both a written document and an oral presentation then be sure one effectively complements the other. Although you can reference the written document during the oral presentation, the oral presentation should be planned with the thought in mind that not everyone is given the written document. Therefore, the oral presentation may be the only content they receive. Since you will not always know who receives the written document, it is best to coordinate the presentation as if no one has the full written document, which can serve as a reference tool for gaining content requiring further explanation or accessibility to detailed information. At the same time, if the entire audience is provided written material keep in mind different decision-makers may be in the audience. For example, the creative director may be only interested in your creative concepts, whereas a vice president of finance may be only interested in figures.

The presentation preparation primarily focuses on your group’s ability to develop a clear plan and execution of delivery. A delivery plan includes essential elements such as (1) purpose, (2) oral content, (3) dress, (4) room, (5) visuals, (6) delivery, and (7) rehearsal to ensure that the group presentation is both captivating and useful to your audience, as well as worth their time.

Group members should keep at the forefront of their minds the answer to the question “Was the general purpose—to inform or to persuade—achieved?” As a group, practice keeping the purpose of the presentation explicit for the audience. The purpose should never become hidden during the presentation. Each group member’s awareness of the purpose is important in maintaining the right kind of delivery. It is possible to have great content for a presentation and miss the entire purpose of the presentation. For example, say your group had been asked to do a presentation about Facebook and how it could be used in the financial industry. You could take an informative or persuasive approach. However, if the audience—banking professionals—attends a presentation where the content is focused on Facebook rather than having a focus on its use in the financial industry, then the purpose was not achieved.

The delivery plan will help you evaluate if the purpose of the presentation is clearly aimed at the primary audience. In addition, the group can determine when and how clearly they are articulating the explicit purpose of the presentation. The purpose is complemented by a clear preview, the audience members’ awareness of what decisions are at issue, and the audience’s desire to get important information first.

Oral Content

Up to this point the majority of the group’s engagement with the content has been in terms of reading and writing. It is time to orally interact with the selected content to ensure that it has been developed for this audience, properly structured, and clearly articulated. The delivery plan is a time to evaluate word choice, idioms, and antidotes. When working with this content, make sure that it is suited to the purpose, and that the key message is explicit so the audience remembers it well.

The introduction of group members, transitions, and internal summaries are all important elements of the delivery plan. A proper introduction of group members and the content will not happen automatically. Therefore, it is important to practice it to determine if introductions fit better at the beginning of the presentation, if names need to be emphasized through the wearing of name tags, or if names are better used as a part of transition content. The use of name only may not be effective in some speaking situations. Therefore, the group needs to determine what a proper group member introduction includes beyond the name. Plus, be consistent; that is, determine if everyone is using first name only or full name, do they need to know your positions, some background, or can you simply state it in a written format such as a team resume. Speech content is not useful if the audience does not accept your credibility.

As in all presentations, an awareness of your physical appearance is an important element in complementing the content of your speech. Do not hesitate to talk about and practice appropriate dress as a group. It is important to look like a group. Really consider defining a group’s speaking uniform by deciding how formal or informal the dress code is.

As a group, the overall question you want to be able to answer is: Did our dress provide an accurate first impression not distracting from the content? So what kinds of things can be distracting? The most common are colors, busy patterns, and large or clinking jewelry. As a group determine what type of dress is effective in coordinating your group’s credibility. It is important to take into consideration cultural, occupational, and regional norms. In addition, it is important to think about branding choices. Often groups want to brand themselves for the audience. It is not necessary to mimic your audience. For example, a sales presentation to cranberry association members may entice a group to wear red. However, the cranberry association may not be the only sale your group needs to make so you will be forced to ask the question: Will each sales presentation audience determine the color we accent in dress? In short, do not let the speaking occasion brand you. Simply know what is considered professional for this presentation. You have spent a lot of time on preparing the content for this audience so do not detract from it.

It is not always feasible to practice your delivery in the actual room where you will deliver your speech. However, it is extremely important that you actively plan your delivery for the room by recreating the speaking environment. If prior access to the room is not available, then you will need to do your planning by asking a series of questions of the presentation planner. Some common things to find out include the size of the room; if a projector is available and its location within the room; is there a platform and/or a stationary lectern; is there a sound system and how many microphones; where the group will be seated before being introduced; will the presentation be recorded; what is the availability of the room in advance of the presentation; and what is the number of seats and seating arrangement so the group can plan for the zone of interaction.

The term visuals refers to both non-technology visual aids (handouts, posters, charts, etc.) and presentation technology. Visuals should not appear as though several individuals made them but rather as uniform to the group’s presentation. All visuals should blend smoothly into the speech. All group members should be clear on what visuals or documents were pre-requested (so you do not eliminate them as unnecessary during rehearsal). Many times it is better to simply project or display visuals. At other times, visuals may need to be assembled in a presentation packet for all audience members. Bohn & Jabusch (1982) suggest that there are several researched-based reasons why visual aids enhance presentations including (a) enhanced understanding —helps audience comprehend what they hear and see; (b) enhanced memory —serves as a visual reinforcement; (c) enhanced organization—visually displays your organizational strategy; (d) enhanced attention —grabs and maintains audience interest; and (e) enhanced sequencing —shows rather than describes.

The four modes of delivery—memorized, impromptu, manuscript, and extemporaneous—are all valuable in group presentations. However, the most common mode of delivery is extemporaneous. Earlier in the chapter, developing a script was discussed. The step of transforming the script into a delivery outline —an abbreviated version of the preparation outline (DiSanza & Legge, 2011)—is a significant part of planning delivery. The ultimate goal is to figure out how the group can be confident that the entire presentation stays together and does not just exist in pieces. The delivery outline may go as far as to stipulate vocal and gesture instructions. The delivery outline is not created to be read from, therefore, the group also should determine how speaker notes will be used. The delivery outline should be provided to every group member so everyone is familiar with the entire presentation. It is important to set up contingency plans for who will present content if someone is absent on the day of the presentation—the presenter who gets stuck in morning traffic or the professional who had a flight delay.

The key is for all group members to remain conversational in their delivery style. This may be best achieved by utilizing effective delivery strategies such as appropriate gestures, movement, and posture; appropriate facial expressions including eye contact; and appropriate vocal delivery—articulation, dialect, pitch, pronunciation, rate, and volume. Group members should evaluate each other on audibility and fluency.

Rehearsals are for the final polishing of your presentations. It is a time to solidify logistics of how many group members are presenting, where they will stand, and the most appropriate transitions between each speaker. Group members should grow more comfortable with each other through rehearsals. A key aspect of polishing involves identifying gaps in content and gaining feedback on content (oral and visual), style, and delivery. The rehearsals are a good time to refine speaker notes and to practice the time limit. The number of scheduled rehearsals is dependent on your group and the amount of preparation time provided. The most important element for the group is to adapt their rehearsal timetable based on an honest evaluation of the speaking skills represented within the group.

The only part of a group presentation that you may not be able to rehearse is responding to the actual audience members’ questions and objections. However, you can anticipate the types of questions and practice a simple strategy of how you will respond—repeating the question, stating who from the group will respond, and answering succinctly. Four of the most common types of questions are follow-up questions; action-oriented questions focused on what would you do if; hypothetical questions focused on different scenarios; and information-seeking questions. A primary way to practice is to think of at least three questions you would like to answer, prepare the answer, and practice it during rehearsal(s).

The foundation of a group presentation is constructed from all the guidelines you use in an individual presentation coupled with additional strategies for working effectively with others. Group presentations primarily entail group communication, planning, organization, and delivery. Effective groups communicate about interaction roles, decision-making, and conflict resolution. Such communication helps the group reflect on group dynamics, customize communication for this speaking group, and establish a unified commitment and collaborative climate.
